How to Publish to Xero

Publish items submitted to Dext directly to a specified location in Xero, with all the correct item information attached.

Before publishing, you can ensure the item’s information is correct by editing an item’s tax settings and category individually or automating it for all items from a specific supplier or customer with supplier and customer rules.

Important: To be able to publish an item to an accounting software you must have the appropriate user role, or be given the relevant permissions to publish to an accounting software by your administrator.


Tax Settings & Categories

Before publishing an item its essential to have the correct tax settings and category selected for the item. This will ensure items are published with the correct details applied.

An item’s tax settings and category can be edited via the Item details page, or by setting supplier or customer rules that will be automatically applied to specific suppliers or customers each time a document is received from them.


Costs & Publishing Destinations

Costs items can be published to multiple destinations in Xero.

Items in the Costs workspace are published by default to the ‘Purchases’ area in Xero. They can also be published to the ‘Classic Expense Claims’ and ‘Bank Accounts’ areas in Xero.

This can be set by going to Connections > Integrations in the sidebar, then going to the ‘Default “publish to” destination for Costs’ setting and selecting the relevant option from the dropdown.

You can also determine what type of item it will appear as in Xero by changing the ‘Publish costs items to purchases as’ setting to ‘Draft’, ‘Awaiting Approval’, ‘Awaiting Payment’, or ‘Paid (where possible)’.


Sales

Items in the Sales workspace are published by default to the ‘Sales’ area in Xero, but can also be published to the ‘Bank Accounts’ area in Xero.

This can be set by going to Connections > Integrations in the sidebar, then going to the ‘Default “publish to” destination for Sales’ setting and selecting the relevant option from the dropdown.

You can also determine what type of item it will appear as in Xero by changing the integration settings in Dext Prepare you can select ‘Draft’ ‘Awaiting Approval, ‘Awaiting Payment’ and ‘Paid (where possible)’.

Expense Claims

Expense claims can be published to Xero, as well as exported in CSV and PDF formats or automatically sent via email. 

When an expense claim is complete, and each transaction in the claim has been assigned a nominal code, you can publish the claim by checking the box next to the claims you wish to publish, then pressing the green ‘Publish’ button.

Publishing

When an item is ready for publishing it can be done manually, or automatically by enabling auto-publish.

To manually publish an item, in the cost or sales inbox, select the items(s) you want to publish then click the Publish button.
