What is Business settings in Dext?

An overview of Business settings in Dext - what each section covers and where to go to manage connections, automation, exports, and more.

Business settings is where you manage the configuration of a Dext business account - including connections to accounting software, extraction preferences, automation, exports, and more.

Select Business settings in the bottom-left navigation to access it. Each section of Business settings is covered below.

Business settings applies to all Dext business accounts, whether the account is managed and paid for by an accountant or bookkeeper, or run independently as a self-paying business.


Who can access Business settings

Access to Business settings varies by role.

  • Standard users can only see Connections (Cost Connections and Sales Connections only) and Vehicles

  • User Admins can see everything except Authentication and Subscription, or Subscription in read-only, if their account is managed by an accountant

  • Business Admins and accountants accessing a client account have full access


Business profile

Business profile is where you manage the account's basic details. It covers:

  • Upload your logo - add or update the business logo. See How to add your company logo in Dext

  • Business profile - business name, practice code, country of registration, base currency, account language, and industry

  • Registered address - the business's registered address

If the account is connected to an accountant or bookkeeper, two additional sections are available:

  • Tax details - VAT registration number, reporting cycle, and starting month

  • Item messaging - control whether messages are signed off with the company name or the signed-in user's name. See How to use item messaging in Dext


Connections

Connections is where you manage how the account connects to accounting software, cloud storage, and other services. It covers:

Extraction

Extraction controls how documents are submitted and processed. It covers:

  • Extract by Email - each Dext account has a unique email address for submitting documents. Share this with suppliers or team members to submit receipts and invoices directly. See How to submit documents to Dext with Extract by Email

  • Inbox tabs - toggle the To review and Ready tabs in the Costs and Sales inboxes. See What do "To review" and "Ready" mean in Dext?

  • Tax - choose whether Dext extracts the tax value from new costs and sales documents

  • Due dates - set default due dates for costs and sales invoices

  • Payment status - choose whether receipts, invoices, and credit notes are marked as paid or not paid by default

Automation controls how Dext categorises and processes documents automatically. It covers:


Approvals

Approvals is where you set up and manage approval workflows for documents and expense claims. It covers:


Mileage

Mileage is where you configure mileage claim settings for the account. It covers:

  • Defaults - set the distance unit, default mileage category, and default mileage supplier

  • Tax - enable VAT calculation on mileage claims

  • Personal vehicle rates - view HMRC-approved rates for personal vehicles by tax period

  • Company vehicle rates - view HMRC advisory fuel rates for company vehicles by tax period and fuel type

  • Vehicles - manage personal and company vehicles used for mileage claims


Exports

Exports controls how data is formatted when exported from Dext. It covers:

  • CSV Exports - set the default format for CSV exports of receipts, invoices, bank statements, and sales documents. See How to download your items as a CSV file

Lists

Lists is where you manage the reference data used across the account - categories, tax rates, payment methods, and more. It covers:


AI Assist

AI Assist in Business settings is where you manage account-level guidance - the rules Dext AI Assist uses to generate categorisation suggestions for this account.


Accountant

The Accountant section is where business users manage their accountant or bookkeeper's access to the account. From here, you can invite an accountant, change to a different one, or disconnect your current one.


Vault

The Vault section in Business settings lets you control how files in Vault are flagged. You can set how many days before a file's due date it gets flagged and appears in the To review section.


Subscription

The Subscription section shows the account's current access to Dext products. What you see here depends on your role and how the account is set up.

If you're an accountant accessing a client account, you can view and control which Dext products the client has access to - including Bookkeeping, Data Health & Insights, Payments, and Vault. You can activate or deactivate products and assign licences directly from here.

If you're a business user whose account is managed and paid for by an accountant, you'll see your current access with an Accountant pays badge. You can use Change who pays if you want to take over billing for your own account. See Change who pays for a Dext business account.

If you're a self-paying business, you'll see your full plan details, including usage, active add-ons, and credits. From here, you can manage your plan and purchase additional features. See How to change your Dext Business plan.


Authentication

The Authentication section lets Business Admins manage login security for all account users. It covers Single Sign-On (SSO) and the option to enforce Two-Factor Authentication (2FA) for all users.


Practice access

This section is only visible to accountants and bookkeepers accessing a client account.

Practice access is where you manage your team's access to this client account - including which colleagues can view it and what permissions they have.


Disconnect client

This section is only visible to accountants and bookkeepers accessing a client account.

Disconnect client lets you remove this client account from your practice - disconnecting your access and, if your practice was paying for the account, ending your subscription coverage for it. The client's documents, settings, and data are not affected.
