How to use products and services in Dext

Assign products and services to items and line items in Dext to track costs and sync consistent data to your accounting software.

Easily keep track of inventory and job costings with products and services in Dext. Products and services are predefined items from your accounting software that you can assign to your transactions, ensuring consistent categorisation, pricing, and reporting when data is published.

When you assign a product or service, Dext fills in related fields automatically and passes the information through to your accounting software when you publish.

Note: Fields such as category, description, unit price, and tax rate only fill in automatically if they're set up for the product or service in your accounting software.


View your products and services list

Your products and services list syncs automatically from your connected accounting software. To view it, go to Business settings, then select Lists, then Products and services.

Important: Only Admin users can access the Products and services list in Business settings.

The list shows each product or service along with its SKU, unit price, and visibility status. You can use the Visible toggle to control whether a product or service can be assigned to items in Dext. Turning this off doesn't remove it from the list - it just makes it unavailable for assignment.

To trigger a manual sync after making changes in your accounting software, select Reload on the Products and services page.


Assign a product or service to an item

To assign a product or service to an individual item:

  1. Go to Costs or Sales and open the relevant item.

  2. Select the Product/Service dropdown and choose the relevant option.

Dext fills in the Category and Description fields based on the product or service. Description only fills in if the field is empty.


Assign a product or service to a line item

To assign a product or service to a line item:

  1. Open the item and scroll to the Line items section.

  2. Select Create line items.

  3. Select the relevant option from the Product/service dropdown on the line item row.

Dext fills in the Category, Description, and Unit price fields based on the product or service. For costs line items, the Tax rate is also filled in. Description only fills in if the field is empty.

When you publish the item, all line item details are passed through to your accounting software - including the product or service name, SKU/item code, category, description, unit price, tax rate, and quantity.

Automatically assign products and services with supplier and customer rules

To automatically assign a product or service to every item from a specific supplier or customer:

For suppliers:

  1. Go to Costs, then select Suppliers.

  2. Select the supplier you want to create a rule for.

  3. Select the relevant option from the Product/Service dropdown next to the supplier.

For customers:

  1. Go to Sales, then select Customers.

  2. Select the customer you want to create a rule for.

  3. Select the relevant option from the Product/Service dropdown next to the customer.

If your transactions from a supplier or customer are predictable - for example, you always buy or sell the same goods in similar amounts - you can go further with Smart Split.

Smart Split lets you pre-define line items, including the products, services, and split amounts, so Dext divides each transaction automatically with no manual entry needed. For more details, see How to use Smart split in Dext.
