You control which clients a colleague can work on either from the client's side or from the colleague's side, and you can grant access to individuals or to a whole team at once. This article covers all three approaches, plus setting access when you add a new colleague.
Important: Practice Admins and Client Admins have Bookkeeping and Data Health & Insights access to every client by default.
Manage access from a client's Practice access page
To control who can access a specific client, open that client's Practice access page. You can reach it from your Clients list or from within the client's own Business settings.
View who has access to a client
To view who has access to a client, go to that client's Practice access page:
Go to your Clients list.
Select Manage next to the client, then select Practice access.
Alternatively, open the client, then go to Business settings > Practice access.
You'll see every team and colleague currently assigned to the client, along with their Approval permissions and Account manager status.
Assign colleagues or teams to a client
To assign colleagues or teams to a client, select Assign colleagues or teams on the Practice access page:
Select Assign colleagues or teams.
On the Colleagues tab, turn on Bookkeeping access for each colleague you want to add. You can also turn on Approval permissions or Account manager access at the same time.
Select the Teams tab to assign a whole team instead. Everyone in the selected team automatically gains access to the client.
Select Assign to save, or Cancel to close.

Note: The Account manager toggle is only available on the Practice Advanced plan.
Bulk edit permissions for assigned colleagues
To change permissions for several colleagues at once, tick their checkboxes and select Bulk edit:
Tick the checkbox next to each colleague you want to update.
Select Bulk edit.
Choose a new value for Approval permissions or Account manager, or leave either as No change.
Select Bulk edit to confirm.
Remove a colleague's access to a client
To remove a colleague's access to a client, tick their checkbox and select Unassign:
Tick the checkbox next to each colleague you want to remove.
Select Unassign.
Select Unassign again to confirm.
Manage a colleague's access from their profile
You can also manage a colleague's access to several clients at once from their own profile, rather than working through each client individually.
Note: Client access only appears in this menu for Standard users. Practice Admins and Client Admins already have Bookkeeping and Data Health & Insights access to every client by default.
View and edit a colleague's client access
To view or edit a colleague's client access, go to Team > Colleagues:
Go to Team > Colleagues.
Select Manage next to the colleague, then select Client access.
Turn on Bookkeeping access, Approval permissions, or Data Health & Insights access for each client, or select Grant bookkeeping access to all or Remove bookkeeping access from all to apply the change everywhere at once.
Assigning Account manager access to a colleague also adds the client to their My Clients list. Set this from the client's own Practice access page.
