What is the Archive in Dext?

Learn how the Archive works in Dext, what moves items there, and how to export or unarchive them.

The Archive is where Dext stores documents that have been processed. It's available as a tab in Costs, Sales, Expense claims, and Supplier statements.


How to access the Archive

The Archive is a tab within each workspace. To access it, go to Costs, Sales, Expense claims, or Supplier statements and select the Archive tab.

How items move to the Archive

How items reach the Archive depends on which workspace they're in.

Costs, Sales, and Expense claims

By default, items move to the Archive automatically after they've been published, and Costs items also move to the Archive when added to an expense claim. You can also configure Dext to archive items automatically after exporting to CSV or PDF.

You can change which actions trigger automatic archiving in Business settings. Only Admin users can access these settings, including accountants and bookkeepers managing a client account. See How to archive and unarchive items in Dext for details.

You can also move any item to the Archive manually at any time.

Supplier statements

Supplier statements move to the Archive when you archive them manually or mark them as reconciled. Archived statements show an Archived status; reconciled statements show a Reconciled status. For more on the reconciliation workflow, see How to use Supplier Statement Extraction in Dext.


What you can do with archived items

Archived items are stored permanently and remain accessible. Depending on the workspace, you can export or unarchive them.

Exporting

You can export archived Costs, Sales, and Expense Claims items as PDF or CSV files, or create a custom CSV export:

Supplier statements in the Archive can only be exported one at a time from the statement's details page. There is no bulk export option for supplier statements.

Unarchiving

You can unarchive items in Costs, Sales, Expense Claims, and Supplier statements to return them to the inbox. For instructions, see How to archive and unarchive items in Dext.

Note: If your account is connected to accounting software, unarchiving a previously published Costs/Sales item or Expense claim will prompt you to decide whether to clear the publishing data. This affects whether the item can be published again. See How to republish an item for guidance.


Your data and your subscription

Your archived documents remain accessible for as long as your Dext subscription is active. If you cancel your subscription, Dext recommends exporting your data before your access ends. After your subscription expires, your data may be permanently deleted in line with Dext's Terms and Conditions.
