Overview
You can now use coloured, named flags to organise and manage your items more clearly. Each flag helps you instantly identify an item’s status or context without opening notes or hovering for more details.
Important: Only Admin users can configure flags.
What’s new
Create custom flags at the client level, each with its own colour and label.
Choose from five fixed colours: orange, yellow, green, blue, and purple.
Enable or disable flags as needed - only visible flags appear in your lists.
Flags display immediately on the item, giving clear, visual context.
Why this helps
Coloured flags give your team a simple, visual way to manage item states and priorities. They make it easier to scan your inbox and quickly understand what needs attention.
Use flags to highlight common scenarios such as:
Waiting on project details
Supplier insolvency
Do not process
Waiting on client response
These colour-coded flags make your workspace more organised and help teams stay focused on what matters most.
How to set up flags
Go to Business settings > Lists > Flags.
Review the list of available colours.
Add or edit a label for each colour.
Toggle Visible to Yes to enable a flag.
Notes:
Orange is the default flag and is always enabled.
Other colours remain hidden until switched on.
Changes apply to both Costs and Sales areas.
How to use flags
Once flags are enabled, all users can apply them while processing items.
Apply flags from the Inbox
To apply a flag, click on the flag next to each item to select a specific colour.
The selected colour and label appear directly in the Costs or Sales inbox, making it easy to see the status of each document at a glance.
If you hover over a flag, a tooltip will show the label name - for example, “Waiting on the client” - so you always know what each flag represents.
Note: You can apply multiple flags to one item.
To apply a flag to multiple items, mark the checkboxes next to each item, open Tools and select Add flags.
Locate flagged items
You can use the Advanced search bar to preview items with a specific flag.
Open the Advanced dropdown, select a flag, then click Apply.
Remove flags
To remove a flag from an item, click on the flag and deselect it from the list.
To remove flags in bulk, select the items, open Tools, then choose Remove flags.
