How to Receive eInvoices

Dext Prepare users in Australia can register to receive eInvoices from suppliers, automating the process and providing a more accurate and efficient way to receive and process items.

Important: All rules and automation will be applied the same way to eInvoices as they are to all other items. Be sure to check your existing rules before you start receiving eInvoices.

Centralised Data
Dext Prepare is your central repository for extraction, processing, and sending data to your accounting ledger. Regardless of how you receive your invoices, through direct submission, the mobile app, invoice fetch, email, and now eInvoices, Dext Prepare will process the data you need, giving you complete coverage across all data sources.

Single, central pre-accounting processing platform
For Dext Prepare partners, you and your clients only need to learn how to use a single eInvoices product regardless of which accounting software you are both using. This means you both will be able to benefit from all the partner-side product features that are native only to Dext Prepare.

Hands-free accounting
Dext Prepare’s automating features like Supplier Rules and Auto-publish, take the manual work out of receiving eInvoices and other cost documents. Your already established rules in Dext Prepare will seamlessly apply to eInvoicing no matter where the data is submitted from, so you can continue to streamline your processes.


Registering to Receive eInvoices

To register:

1. Go to Connections in the sidebar, then Costs. You will automatically land on the eInvoicing tab.

Before you begin registration, make sure you aren’t registered elsewhere.

2. Click the Register for eInvoicing button.

3. Enter your Australian Business Number (ABN). We will then validate it and pre-fill some fields for you.

4. Enter the legal name of your business. Make sure that the entity name matches the one in the ABR (Australian Business Register) in order to continue.

5. We will validate the ABN and entity name and pre-fill some fields for you. Fill in the remaining fields. If everything is correct, click Next. If not, edit the company details in the Australian Business Register.

6. Fill in your business and legal contact details. If the business and legal contact are the same person, tick the Same as business contact button in the Legal Contact section.

7. Agree to the Terms and Conditions, Privacy Policy, and that you are giving accurate information. Then, click Finish registration.

All done! When you receive an eInvoice it will appear in your Costs inbox.

Note that details can be edited later.


Editing eInvoice Items

Important: All rules and automation will be applied the same way to eInvoices as they are to all other items. Be sure to check your existing rules before you start receiving eInvoices.

To see and edit an eInvoice:

1. Go to Costs in the sidebar, then Inbox.
2. Click on the item you want to edit to go to the Item Details page.
3. eInvoice items will have a notification banner under Item Details that says “This is an eInvoice”.

4. On the item details page you can edit the item and set supplier rules before publishing it.


Deregistering from Receiving eInvoices:

To deregister:

1. Go to Connections in the sidebar, then Costs.
You will automatically land on the eInvoicing tab.
2. Click the Deregister from eInvoicing button.

3. Confirm you wish to Deregister from eInvoicing to complete the process.

Keep in mind that suppliers will be unable to send eInvoices to you while you are not registered.
