You can send receipts, invoices, and other documents to Dext by emailing them to your unique Extract by Email addresses. Each user and account has separate addresses for Costs and Sales documents, in 2 modes: Single (one document per file) and Multiple (one document per page). After you send an email, Dext extracts the data and adds each item to your Costs or Sales inbox.
Important: These addresses are only for sending documents to Dext — you can't use them to log in.
How the Extract by Email addresses work
Each user and account has dedicated Extract by Email addresses for Costs and Sales documents, and the address you use determines document ownership and processing mode.
Per user and account: Each has Single and Multiple addresses for both Costs and Sales.
Ownership: Sending to a user's address sets that user as the Document owner. Sending to an account address leaves the owner blank.
Processing mode: The address you use (Single or Multiple) determines whether Dext treats the whole file as one document or splits it by page.
Note: Only users with access to all documents can see items that don't have a Document owner. For more on document access levels, go to Roles and permissions
Choose the right address: single vs multiple
Dext offers 2 address types — Single and Multiple — and choosing the right one determines how your files are split into items.
Single (one document per file)
Use a Single address when each file you send contains one document, even if that file has multiple pages.
Each file becomes one item.
You can attach multiple files to one email.
Example: a 2-page invoice becomes one item in Dext.
Best for routine invoice and receipt submissions.
Multiple (one document per page)
Use a Multiple address when each page in a file is a different document.
Each page becomes a separate item.
Ideal for multi-page PDFs of individual receipts.
Example: a 10-page PDF with 10 receipts becomes 10 items.
Best for batch processing.
Supported file types
You can submit several file types by email:
Images: JPG, PNG, GIF, BMP, TIFF
Documents: PDF, DOC, DOCX, ODT, RTF
Archives: ZIP files containing images
Submit documents by email
To submit documents by email, attach files to a new email or paste the document directly into the email body, then send it to the correct Extract by Email address.
Submission guidelines
Before you send documents, keep these guidelines in mind:
PDFs sent to a Multiple address can be up to 200 pages.
Dext can't extract password-protected attachments or documents from hyperlinks.
You can include multiple attachments in one email.
Add a description (optional)
You can add a description to your submission by including it between 2 #note tags in the email body, for example:
#note Quarterly invoices from ACME Ltd #note
When you send to a Multiple address, the same description applies to each resulting item.
Tip: If you use Dext AI Assist, you can write guidance so it reads the email body and suggests or applies field values, such as project codes or categories, to the processed document. For more, go to Dext AI Assist: Account guidance
Submit single-document files (Single address)
To submit single-document files, use your Single Extract by Email address.
Copy your Single documents address from the Add documents panel, or from Extract by Email in Profile > User settings. If you're submitting sales items, copy the address ending in "+sales@dext.cc".
Compose a new email and attach the file, or paste it into the email body.
Add an optional description between #note tags.
Select Send.
Tip: If you regularly receive supplier invoices, set up an email forwarding rule to send them to your address as Single documents automatically.
Submit multi-document files (Multiple address)
To submit multi-document files, use your Multiple Extract by Email address, which ends in @multiple.dext.cc.
Copy your Multiple Extract by Email address from Profile > User settings.
Compose a new email and attach the multi-page PDF.
Add an optional description between #note tags.
Select Send. Dext splits each page into a separate item.
What happens after you send documents
After Dext receives your email, it reads the documents and extracts the data, usually within 30 minutes.
Dext reads the document and extracts the data.
Items usually appear within 30 minutes.
When extraction finishes, items are available in your Costs or Sales inbox.
If a document is missing
If a document you sent doesn't appear, it may have been removed as a duplicate or rejected by Dext.
It may have been removed as a duplicate. Go to Submission history to confirm.
It may have been rejected. Go to Why was my document rejected? to find out why. The user whose Extract by Email address was used to submit the document gets a notification to their Dext login email.
Get notified about rejected submissions
Turn on email notifications to receive a summary with the rejection reason for each rejected file.
Go to Profile > User settings.
Open Bookkeeping email notifications.
Set On acknowledgement to Yes.
View the original email trail for a submission
You can view the original email used to submit a document, including its subject, timing, sender, and full body.
Open the item in your Costs or Sales workspace after it appears.
On the item detail page, select the Email tab.
The original email for that submission appears in the Email view.
