How to use the Submission history in Dext

Learn how to use the Submission history page in Dext to find Costs, Sales, Supplier statements, and Vault files - including deleted, merged, and duplicate items - using search and advanced filters.

The Submission history page shows every document submitted to a Dext account - in one place.

This includes:

  • Costs

  • Sales

  • Supplier statements

  • Vault files

It doesn’t matter whether the item is in the Inbox, Archive, Deleted, Merged, or marked as a Confirmed duplicate - you can find it here.

This is the best place to:

  • Locate a missing document

  • Check who submitted an item

  • Restore deleted, duplicate, or merged items

  • Track what happened to a document

Note: Rejected items do not appear in the Submission history. Learn more in Why was my document rejected?


How to access the Submission history

In the web app:

  • Click Submission history at the bottom of the left-hand sidebar (just above Business settings).

The page is divided into three tabs:

  • Costs & Sales

  • Supplier statements

  • Vault

Who can access the Submission history?

All users can access the Submission history page.

However:

  • Standard users can only see the documents they submitted by default.

  • If a Standard user has the Access all documents permission enabled, they can see all items in the account.

Search and find items

The Submission history page includes a search bar and advanced filters to help you quickly locate specific documents.

Using the search bar

The search field in the top-right corner searches by supplier name.

You can:

  • Enter the full supplier name (for example, JOE’S COFFEE)

  • Enter part of a supplier name (for example, Joe)

  • Enter a word that appears in the supplier name (for example, coffee)

Dext will return all items where the supplier name contains the text you entered.

The search does not look inside document contents, totals, or descriptions. It matches supplier names only.

Using Advanced search

For more specific results, click Advanced next to the search bar.

The panel includes filter fields for Supplier, Customer, Submitted by, Submission method, Owned by, Submitted at date range, Date range, Total amount range, and checkboxes for Only deleted items and Only merged items, with Reset and Apply buttons at the bottom.

From here, you can filter by:

  • Supplier

  • Customer

  • Submitted by

  • Submission method

  • Owned by

  • Submitted at (submission date range)

  • Date (date on the document)

  • Total amount (range)

  • Only deleted items

  • Only merged items

After selecting your filters, click Apply.

To clear filters, click Reset or remove active filters from the top of the page.


Actioning items from Submission history

From the Submission history, you can:

  • View document images

  • Download original files

  • View item history

  • Open the item in its current location

  • Restore deleted, merged, or duplicate items

The available actions depend on the tab you’re viewing.


Costs & Sales items

On the left of each row:

  • Image icon - View the document image

  • Arrow icon - Download the original file

  • Page icon - View the item history

On the right of each row:

  • Show - Opens the item in its current location (Inbox or Archive)

  • Restore - Returns deleted, merged, or confirmed duplicate items to the Inbox

Important:


Supplier statements

On the left:

  • Page icon - View the statement history

On the right:

  • Show - Opens the statement in the Supplier statements Inbox or Archive

Note: Supplier statements cannot be restored from here if removed.


Vault

On the left:

  • Image icon - View the file

  • Arrow icon - Download the file

  • Page icon - View file history

On the right:

  • Show - Opens the file’s Details page

Note: Vault files cannot be restored from here if removed.


Can I download my Submission history?

Yes - for Costs & Sales documents only.

To export:

  1. Apply any filters if needed.

  2. Click Export history at the top of the page.

This downloads a CSV file containing:

  • All items currently shown on the page

  • All visible columns

Note:

  • CSV is the only available format.

  • Export is not available for Supplier statements or Vault files.
