Set up email forwarding rules to Dext

Why use email forwarding?

If suppliers send receipts or invoices to your inbox, set up an email rule to forward them to Dext automatically. This saves time and eliminates manual uploads.


What you’ll need

  • Your unique Dext email-in address:

    • [custom-name]@dext.cc - forwards one document per email.

    • [custom-name]@multiple.dext.cc - splits each page of the attachment into separate documents in Dext.

  • Access to your email provider’s forwarding/rules settings.

Important: Forward only to your Dext address above. If a different address is used, documents will not reach Dext.


Using the account-level Extract by email address

If you use the account-level Extract by email address for email forwarding, you may need to configure email notifications so verification messages are delivered correctly.

Important: Each Dext account has an account-level Extract by email address that anyone can use to submit documents. You can view or copy this address in Business settings > Extraction > Extract by email. This address is separate from each user’s personal Extract by email address. If you forward documents to the account-level address, the document owner will appear as none.

If you use the account-level address for email forwarding rules, some email providers require a verification code or link before forwarding is enabled. This verification will only be delivered if a user is set to receive notifications for unassigned documents.

To make sure the verification email is received:

  1. Go to Business settings.

  2. Select Extraction.

  3. Open Email notifications.

  4. Choose a user from the dropdown for documents with no owner.

Quick setup (generic steps)

  1. Open your email settings and go to Forwarding or Rules/Filters.

  2. Create a new rule to forward messages that contain receipts, invoices, or are from known supplier addresses.

  3. Set the forward-to address as your Dext email-in (@dext.cc or @multiple.dext.cc).

  4. Save and enable the rule.

  5. Send a test email with a PDF or image attachment to confirm it arrives in Dext.

Verification codes and links

Some providers require verification before forwarding to a new address:

  • Where it’s sent: The verification code or link goes to the email you use to log in to Dext.

  • Gmail note: Gmail typically sends a verification link instead of a code. Click the link to confirm forwarding.


Choosing the right Dext address

  • Use @dext.cc if you want each email to create one document.

  • Use @multiple.dext.cc if you regularly receive multi-page PDFs and want each page imported as a separate document.


Tips for reliable forwarding

  • Add supplier email addresses to your rule conditions (e.g., from: invoices@vendor.com).

  • Include common keywords like invoice, receipt, statement, and bill.

  • Allow large attachments and supported file types (PDF, JPG, PNG).

  • Keep a copy in your inbox or archive (optional), so you have a backup.


Troubleshooting

  • Nothing arrives in Dext: Confirm the rule is enabled and the forward-to address is exactly your Dext email-in.

  • Verification not received: Check spam/junk. Re-send the verification. If you used the account-level Extract by email address, check that a user is selected under Business settings > Extraction > Email notifications so verification emails can be delivered.

  • Attachments split unexpectedly: You’re likely using @multiple.dext.cc, which imports each page as a separate document by design.

  • Forwarding stopped: Re-verify if your provider prompts you, and make sure mailbox storage isn’t full.


FAQ

Where is the forwarding rules confirmation link sent?

The Extract by Email address (e.g. john.doe@dext.cc) isn't a real inbox — it's only used to receive documents. Confirmation links are sent to a login email instead.

If the Extract by Email address belongs to a user with login access: The confirmation link goes to that user's Dext login email.

If the Extract by Email address belongs to a Submitter user or the account itself: There's no login email associated with these, so you need to assign one first:

  1. Go to Business settings > Extraction.

  2. Scroll to Email notifications.

  3. Select a user from the When a document doesn't have an owner dropdown.

  4. Try setting up the forwarding rule again.

The confirmation link will be sent to the selected user's login email.

Finding the confirmation email: Look for an email titled "Your confirmation mail from Google for forwarding emails to Dext" in the user's Gmail inbox. If it's not there, check the Spam or Junk folder.

Can I forward from multiple email addresses?

Yes. Any mailbox can forward to your Dext email-in address.

Can I CC or BCC the Dext address?

Yes, but results are most reliable when your rule forwards or auto-forwards directly to the Dext address.

Can I change my Dext email-in address?


You can create or rename the custom part before @dext.cc. Update your rules if you change it.
