You can use the Dext mobile app to scan paper receipts and invoices or upload PDF and image files directly to your Costs or Sales inbox.

Scan a paper receipt or invoice
To capture a physical document:
Open the Dext mobile app.
Go to your Costs or Sales inbox.
Tap the camera button at the bottom of the screen.
Take a photo of your document.
Review the details if needed.
Tap Submit.
Use camera modes
The mobile app includes different capture modes depending on the type of document:
Single – For one receipt or invoice on a single page (most standard receipts).
Multiple – For several separate receipts captured at the same time (up to 50 photos).
Combine – For one document that spans multiple pages, such as long receipts or multi-page invoices (up to 50 photos).
Switch between modes at the bottom of the camera screen before taking photos.
Choose Costs or Sales
The item type is automatically set based on the inbox you opened the camera from.
Use the dropdown in the bottom-right corner only if you want to switch before submitting.
If you upload to the wrong inbox, you can open the item later and use the menu (three dots) to convert it to Costs or Sales.
Submit on behalf of another user
If you have permission to submit for someone else:
Tap the name at the top of the camera screen.
Select the correct user from the list.
Continue capturing your document.
This ensures the item is assigned to the correct person.
Upload PDFs or photos from your device
You can also upload digital files instead of scanning a paper document.
To upload from your device:
Tap the camera button.
Tap the image icon in the bottom-left corner.
Select:
PDF files (max 50), or
Photos
Choose your file(s).
Review and tap Submit.
Tip: You can also share files directly to Dext from another app on your device by selecting Share > Dext.
Review and edit before submitting
After capturing or uploading a document, you’ll see the Review screen.
From here you can:
Expand Item details to view or edit fields.
Crop the image using the crop icon (top-right).
View the image in full screen.
Tap Submit when ready.
Note: You do not need to complete every field before submitting.
What happens after you submit?
After you tap Submit, your document is uploaded and begins data extraction.
While extraction is in progress, the item appears under Processing at the top of your inbox.
Viewing items in Processing
If you tap the Processing section, you’ll see a list of items currently being extracted.
Extraction usually takes a short time.
Once complete:
The item moves into your inbox.
The extracted data (such as supplier, date, and amount) is available for review.

Once your documents have finished processing, you can:
Create an expense claim
Group related receipts and invoices together before submitting them for approval or review.
Publish your items
If your account is connected to accounting software, you can publish items directly from the mobile app.
