How to add documents to Dext via WhatsApp

Connect WhatsApp to Dext and send invoices or receipts directly to your Costs Inbox from mobile or WhatsApp Web.

Connect WhatsApp to Dext to send invoices, receipts, and other documents directly to your Costs Inbox. Once connected, any file you send to the Dext WhatsApp chat is automatically processed and added to your account.

The WhatsApp experience works the same on mobile and WhatsApp Web.


Before you start

To connect WhatsApp to Dext:

  • You must be an Admin user or an accountant/bookkeeper accessing a client account

  • Use a phone number linked to an active WhatsApp account

Standard users in a business account cannot enable WhatsApp for themselves or others. The same applies to Standard users in a practice account.


Where to activate WhatsApp

To activate WhatsApp for a user in Dext:

  • In a Business account, go to Users

  • In a Practice account, go to Team

Even if you are enabling it for yourself, you must edit your own user profile. There is no separate WhatsApp settings page in Dext.


How to connect WhatsApp to Dext

To activate WhatsApp for a user (including yourself):

  1. Go to Users (business) or Team (practice).

  2. Select Manage next to the relevant user.

  3. Select Edit user details or Edit colleague details.

  4. Scroll to the WhatsApp section.

  5. Select Activate.

  6. Enter the user’s phone number.

  7. Select Confirm.

Dext will send a verification message to that phone number via WhatsApp.

During this time, the invitation will show as Pending on the Edit user details or Edit colleague details page.


How to complete WhatsApp verification

To complete the connection:

  1. Open WhatsApp on mobile or WhatsApp Web.

  2. Open the chat from Dext.

  3. Reply with Confirm.

Once confirmed, the WhatsApp connection becomes active.

Tip: The workflow is the same whether you use WhatsApp on mobile or desktop.


How to send documents via WhatsApp

After activation, you can submit documents from your WhatsApp mobile or WhatsApp Web. The steps are the same in both versions.

  1. Open WhatsApp.

  2. Open your chat with Dext.

  3. Select the attachment icon.

  4. Choose the file you want to send.

  5. Send the file.

The document enters the Processing tab in Dext and appears in your Costs Inbox once extraction is complete.


What happens after you send a document?

After you send a file:

  • Dext processes the document

  • Data is extracted automatically

  • The item appears in your Costs Inbox for review

You can then code, submit for approval, or publish it as usual.


What to do if you don’t receive the WhatsApp confirmation message

If you don’t receive the verification message:

  • Confirm the phone number entered in Dext is correct

  • Ensure the number is linked to an active WhatsApp account

  • Check that the activation steps were completed

If the issue continues, contact the Dext support team.
