How to use the Actions menu in Dext

Use the Actions menu in the Costs and Sales inboxes to export, request approval, merge, edit, flag, archive, or delete items in bulk.

Written by Alexander

To use the Actions menu in Dext, select 1 or more items in your Costs or Sales inbox, then choose an action from Actions. This lets you update multiple documents at the same time.

Where is the Actions menu?

The Actions menu is available in the Costs inbox, Expense claims, and Sales inbox. It appears above your document list once you're in an inbox view.

How to use the Actions menu

To use the Actions menu, select the items you want to change and then choose an action.

  1. Go to Costs or Sales from the main navigation.

  2. Open the relevant inbox (for example, Costs inbox or Sales inbox).

  3. Use the checkboxes next to each item to select 1 or more documents.

  4. Select Actions.

  5. Choose the action you want to apply.

The selected action will apply to all selected items.

What can I do from the Actions menu?

The Actions menu lets you manage multiple documents at once. The available options may vary slightly depending on the inbox you’re in.

Export

If your account is connected to accounting software, select Export to export the selected items, or Export all with nothing selected. You can then choose a CSV, PDF, or ZIP file. If your account isn't connected, Export and Export all are buttons next to Actions instead. For every way to export, go to How can I export my documents from Dext?

Request approval

You can request approval for the selected items, whether or not they match an approval workflow. Dext sends items that match a workflow to that workflow’s approver, and lets you choose an approver for the rest.

For expense claims, Request approval isn’t in the Actions menu. Select it in the Expense claims toolbar or on the claim row. For details, go to How to submit an expense claim for approval.

Merge

You can merge 2 or more items into 1.

This combines related documents into a single record. Only available for Costs and Sales documents.

For step-by-step instructions, see How to merge items in Dext.

Bulk edit

You can bulk edit selected items to update certain fields at once.

For example, you can adjust the Category field for multiple items in a single action instead of editing each one individually. Only available for Costs and Sales documents.

Move to

You can move selected items to a different workspace: Sales, Supplier statements, or Vault. Only available for Costs and Sales documents.

For step-by-step instructions, go to How to move items between workspaces in Dext.

Send by email

You can send selected items by email directly from the inbox.

Dext sends a PDF and CSV file of the selected items to the email address you enter.

For step-by-step instructions and important details, go to How to send items by email from Dext

Move to archive

This removes the selected items from your active Inbox and stores them in the Archive.

Clear publishing data

You can clear publishing data for selected items.

After clearing publishing data, Dext will no longer detect that the item has already been published.

Use this if you need to republish a document. For more details, see How to republish an item.

Flag & Unflag

You can flag and unflag selected items to add visual context in your inbox.

Flags can be colour-coded and labelled (for example, “Waiting on client” or “Do not process”), so your team can instantly see an item’s status without opening it.

To manage flag colours, labels, or visibility, see How to use coloured flags to organise items.

Manage Auto Expense claims

You can set up or change Auto Expense claims from the Actions menu on the Expense claims page. This option is only available on the Expense claims page, and it only applies to expense claims. It isn’t available in the Costs or Sales Inbox.

Auto Expense claims create expense claims for the users you choose on a weekly, fortnightly, or monthly schedule. To open the setup, go to Costs > Expense claims > Actions > Manage Auto Expense claims. For step-by-step instructions, go to How to set up Auto Expense claims in Dext

Supplier defaults

You can set a default supplier for each user from the Actions menu on the Expense claims page. This option is only available on the Expense claims page, and it only applies to expense claims. It isn’t available in the Costs or Sales Inbox.

A default supplier is the supplier Dext uses when it creates an expense claim for that user. To open the setup, go to Costs > Expense claims > Actions > Supplier defaults. For step-by-step instructions, go to How to create an expense claim

Delete

You can delete selected items from your inbox.

Deleted items are removed from the inbox but are not permanently erased. You can find and restore them from the Submission history page if needed.
