Why am I seeing “This email is already taken” in Dext?

Find out why you see “This email is already taken” in Dext and how to fix it when adding or editing emails.

You can use the same login email across multiple Dext accounts. If you see this message, the email is already in use in a situation where it must be unique.


When does this message appear?

You’ll see this message when Dext doesn’t allow the same email to be reused. This happens when you:

  • Create more than 1 trial account: You can only use an email once for a trial

  • Add a practice user to a client they already access: You need to grant access instead of adding them again

  • Add or edit an Extract by email address: Each Extract email must be unique

What you do next depends on where you see the message.

Creating a trial account

This message means the email you're using is already tied to an existing Dext account. What fixes it depends on how that account relates to you.

  • It's your own earlier trial — Log in with that email, or use a different email address to create the new trial.

  • You were added as a user on someone else's account — You can't remove yourself; ask another user with access to remove you, which releases your email. Alternatively, contact Dext support and ask them to release your email from that account. Once they confirm it's released, you can create your own trial using the same email.

Adding or editing an Extract by email address

If you see “Email already in use. Please choose another one.”, the Extract by email address is already assigned elsewhere and must be unique.

To fix this:

  • Use a different email address (you need to enter only the first part of the email address before the “@”)

  • Or update/remove the existing Extract email before reusing it

Important: Each Extract by email address can only be used once across Dext, even if the same login email is used across multiple accounts.


Editing a user’s email

The email is already used in one of the cases above.

To fix this:

  • Use a different email address

  • Or update where that email is currently used


How to change your own login email

To change your login email in Dext:

  1. Click Profile in the top-right corner.

  2. Go to Login details

  3. Select Change next to your current email

  4. Enter your new email address

  5. Confirm the change via the verification email

Note: Your new email will only work after you verify it from the confirmation email.


How to change another user’s email

To update another user’s email:

  1. Go to Team/Users

  2. Find the user

  3. Select Manage

  4. Select Edit user details

  5. Enter the new email address

Important: You can’t edit the email address of a user who has access to multiple Dext accounts. If the email needs to change, ask the user to update their login email themselves from their profile settings.


What happens next?

After you update an email:

  • The user will need to verify the new email before using it to log in

  • The old email stops working once the change is confirmed
