Using the Workflows insight

The Workflows insight shows all workflows across your practice with status, progress, assignees, and period details in one configurable table.

The Workflows insight gives you a practice-level view of all workflows across your clients, showing their status, progress, assignees, and reporting periods in one place. Use it to track completion, spot bottlenecks, and manage your team's workload.

To access it, select Insights in the left navigation, then select Workflows.

Important: The Workflows insight requires the Data Health & Insights add-on and is available on the Practice Advanced plan.

Who can use this insight

The Workflows insight is available on the Practice Advanced plan with the Data Health & Insights add-on. Admin users see all clients by default. Standard users see only the clients they've been granted access to. For more details, see Roles and permissions in Dext.

Available columns

Each row in the Workflows insight is a single workflow instance. Columns cover workflow and client identification, period and due dates, assignees and reviewers, status, progress, and check-level detail — showing how many checks are required, completed, outstanding, not applicable, or flagged with issues, along with key completion dates.

To see and manage which columns are shown, select the three-dot menu at the top of any column and choose Choose Columns.

Configuring the table

The Workflows insight has the same spreadsheet-like functionality as the Practice and Activity insights. You can customise columns, apply filters, group rows, pin columns, and save the result as a custom report.

Columns — select the three-dot menu at the top of any column to sort, pin, autosize, group by, or reset columns. Select Choose Columns to show or hide specific columns.

Filters — each column has a filter icon for filtering by that column's values. For example, filter by Workflow Name to focus on a specific workflow type, or by Assigned To to see all workflows for a particular team member.

Row groups — drag any column into the grouping area at the top of the table to group rows by that value. You can create multi-level groupings — for example, group by Assigned To first, then by Workflow Name, to see each team member's workflows grouped by type.

Saving and exporting

To save your current table configuration, select Save. Give the report a name and choose whether to keep it private or share it with your team. Saved reports appear under Custom in the Insights navigation.

To export the current view, select Export. The table downloads as an Excel file.
