The Workflow List gives you a complete view of all workflows across your practice in one place. From here, you can monitor progress, start and continue workflows, and manage individual workflow instances.
Note: Workflows are available on the Practice Advanced plan. All roles in a Practice account can access the Workflow List. Standard users only see workflows for clients they've been granted access to.
Access the Workflow List
To access the Workflow List, go to Workflows in the sidebar of your Practice account and select List.
You can also view workflows for a specific client from the Workflows section in their sidebar, or from the Workflows section at the bottom of their Overview page. At client level, only that client's workflows are shown.
Switch between kanban and list view
The Workflow List has two layout options. Select the view icon in the top right corner to switch between them.
Kanban view — workflows are displayed as cards organised into four columns by status: Not started, In progress, Under review, and Completed.
List view — workflows are displayed as rows with status shown as a badge on each row. Select a status tab at the top to filter by that status. The Completed tab shows workflows completed in the last 90 days.
Filter and sort
Use the filter icon to narrow down the workflows shown:
Ownership — show All workflows, My workflows, or My reviews.
By team member — filter by a specific assignee.
Show unassigned — toggle on or off to include or hide unassigned workflows.
Show overdue — toggle on or off to include or hide overdue workflows.
Due date — filter to a specific due date.
Use the Sort by dropdown to sort by Due date, Period end date, Client name, or Workflow name.
Use the Search field to search by workflow name.
Workflow cards
Each workflow card or row shows the client name, workflow name, reporting period, check count, due date, assignee avatar, and status. Repeating workflow instances are marked with a Repeating badge.
The action button on each card reflects the current status of the workflow:
Not started — Start workflow (if you're the assignee) or View workflow
In progress — Continue workflow (if you're the assignee) or View workflow
Under review — Review workflow (if you're the reviewer) or View workflow
Completed — View workflow
Workflows approaching their due date will show a warning indicator on the card.
Manage workflows
Select the three-dot menu on any workflow card or row to access management options. Available actions depend on the workflow's status.
Edit a workflow
Select Edit workflow to update the workflow's due date, assignee, first reviewer, or second reviewer. The workflow name and client can't be changed after creation. All other settings are locked once a workflow is in progress.
Duplicate a workflow
Select Duplicate workflow to create a copy of the workflow with the same settings. Update the date range or client list as needed. Useful for creating a new workflow without starting from scratch.
Delete a workflow
Select Delete workflow to remove a workflow from the list. You can also select multiple workflows using the checkboxes and delete them in bulk using the Delete button at the top.
Important: Deleting a workflow from the Workflow List only removes that instance. If it's a repeating workflow, the repeating workflow on the Repeating page will continue to create new instances on schedule.
Archive a workflow
To archive one or more workflows, select the checkbox next to each workflow you want to archive — or select the checkbox above a status column in kanban view to select all workflows in that status, or use Select all to select everything in the list. Then select Archive at the top of the page.
Completed workflows are automatically archived after 90 days.
To access archived workflows, select View archive in the top right corner of the Workflow List. From the archive, you can unarchive or permanently delete workflows.
