Once a client invites you to access their Dext account, you can take over payment through your practice subscription. Their billing will move under your practice and use one of your available client slots.
Note: If you're a business owner and your accountant pays for your Dext subscription, go to How to take over your Dext subscription from your accountant
Before you start
Before taking over a client's subscription, make sure the following conditions are met:
The client must have invited you to their Dext account
You must have access to the client in your practice account
If the client currently has an active subscription, they must cancel it and wait for it to expire before you can take over payment
Note: This article covers taking over billing from a client. To do the reverse — inviting a client to pay for their own subscription — go to How to remove, deactivate, or delete a client in Dext.
How to take over payment
To take over payment for a client's Dext subscription, follow these steps from your practice account:
Go to Clients in your practice account.
Select Manage next to the client.
Select Manage client's subscription.
Select Change who pays.
Select Confirm.
What happens next
Once you take over:
The account moves under your practice subscription
It uses 1 of your available client slots
Any charges for paid add-ons (such as line item extraction, supplier statement extraction, or bank statement extraction) will be billed to your practice subscription
You can track your clients' usage in Practice settings > Subscription > View usage.
What to do if the client already has an active subscription
If you select Change who pays and Dext shows the message Your client has an active Dext subscription, the client still pays for their own plan. Inviting you to their account isn't enough, because Dext can't move billing to your practice until that plan expires.
To take over payment in this situation, follow these steps:
Ask the client to cancel their subscription. They go to Business settings > Subscription > Billing Details and select Cancel subscription.
Wait for the subscription to expire. The expiry date shows on the client's Subscription page.
Go to Clients, select Manage next to the client, then select Manage client's subscription > Change who pays > Confirm.
Note: Annual subscriptions must be cancelled at least 30 days before the renewal date. For notice periods, go to How to cancel your Dext account. If you need help changing who pays, contact the Dext support team
What to do if the client's previous accountant cancelled or deactivated their account
If the client's previous accountant deactivated them or stopped paying for their subscription, the client doesn't need to reactivate or buy a plan before moving to you.
A Business Admin or User admin in the client's Dext account disconnects the previous practice and invites you from Business settings > Accountant. For their steps, share How to invite your accountant to access your Dext account. Once the client appears in your Clients list, take over payment with the steps in the How to take over payment section.
If nobody in the client's account is an admin, the client can't invite you. Ask the previous practice to make one of the client's users a Business Admin. For their steps, share How to change a user's role in a client account. Then either the previous practice disconnects the client, or the new Business Admin disconnects the previous practice and invites you.
The previous practice can't use Transfer client for a deactivated client. If they can't or won't help, contact the Dext support team. They can move the client's data into a new Dext account.
