How to connect Dext to Sage Accounting

Connect Dext to Sage Accounting to publish transactions, sync your lists, and configure how items are published and taxed.

Connecting Dext to Sage Accounting lets you publish your Costs, Sales, and Expense claims directly to Sage with all the relevant details applied. Once connected, your chart of accounts, suppliers, customers, bank accounts, products and services, and analysis types sync automatically between the two platforms.

Important: You must be an Admin user to connect and manage accounting software. If you require access, contact an Admin or your accountant/bookkeeper.


Connect Dext to Sage Accounting

To connect your Dext account to Sage Accounting:

  1. Go to Business settings, then select Connections.

  2. Under Accounting software, select Connect.

  3. Find Sage Accounting in the list of available integrations and select Connect.

  4. Select Connect software - you'll be redirected to Sage Accounting and prompted to log in.

  5. Follow the steps in Sage until you're returned to Dext.

  6. Select Finish to complete the connection.

Allow a few minutes for your lists and categories to sync after connecting.


Configure your Sage Accounting settings in Dext

After connecting, you can configure how Dext works with Sage Accounting. To access these settings:

  1. Go to Business settings, then Connections.

  2. Select Manage next to Sage Accounting, then choose Settings.

General

General settings control how items are published from Dext to Sage Accounting.

Default publish to destination for costs - sets the publishing destination automatically assigned to new cost items uploaded to Dext. Options are Purchase Invoice and Other Expense. This can be overridden on individual items or by rules.

Default publish to destination for sales - sets the publishing destination automatically assigned to new sales items uploaded to Dext. Options are Sales Invoice and Quick Entry. This can be overridden on individual items or by rules.

Warn me when creating a new supplier - when turned on, Dext notifies you before creating a new supplier in Sage Accounting before publishing.

Display Product/Service type - when turned on, the product or service type from Sage Accounting is shown alongside the product or service name in Dext.

Use Postponed VAT Accounting - when turned on, import VAT for applicable suppliers is reported on your VAT return rather than paid at the point of import. This applies to UK VAT-registered businesses importing goods, and helps avoid a cash flow impact at customs.

Tax

The Tax section controls how tax is handled when publishing to Sage Accounting.

Default tax for costs sets the default tax rate applied to cost items on publish. This is required for Dext to send tax to Sage Accounting. It can be overridden by supplier rules or on the Item details page.

Publish tax amount without tax code rate calculation - when turned on, the tax amount extracted by Dext or set manually is sent to Sage Accounting without being recalculated by the associated tax code rate.

Display tax names with code - when turned on, the tax code is shown alongside the tax name in Dext. Useful for regions where tax names may be identical across different codes.


Analytics

Analytics settings let you choose which Sage Accounting analysis types are available to assign to items in Dext. Sage Accounting supports up to 3 transaction analysis types - such as Project, Department, or Cost Centre - which you configure in Sage Accounting first.

Once your analysis types are set up in Sage Accounting, you can choose which 2 to display in Dext:

  1. Select Analytics.

  2. Select Update analytics.

  3. Choose your Analysis type 1 and Analysis type 2 from the dropdowns.

  4. Select Update analytics to save.

The selected analysis types will appear as fields on your items in Dext, ready to assign.

Bank match

The Bank match setting controls how Dext handles payment information when matching items to bank transactions.

Autofill payment - when turned on, Dext automatically fills in the payment section for bank match, sending items to the paid area of the matched bank account for reconciliation.

Once you've configured your settings, there are a couple of things worth setting up before you start publishing.

Set up payment methods

When connected to Sage Accounting, your Payment methods list includes a Type of payment field. This lets you specify how each payment was made - for example, Electronic or Credit/Debit Card - and that information is recorded against the item in Sage Accounting when published.

Set up Domestic Reverse Charge

If you work in the building and construction industry, you can apply the Domestic Reverse Charge (DRC) VAT to items in Dext. You'll need to enable DRC in Sage Accounting first, then use the Domestic Reverse Charge toggle on the Item details page in Dext.
