Multi-account management for accountants and bookkeepers

Use one login to access multiple Dext accounts. Learn how multi-account management works for practices and client users.

Multi-account management allows a Dext user to be part of more than one Dext account using the same login credentials.

As an accountant or bookkeeper, this applies when:

  • You are part of more than one Practice

  • A client needs access to more than one business

  • A client has separate Dext logins and wants to merge them


Before you start

Multi-account management does not combine:

  • Practices

  • Client businesses

  • Subscriptions

  • Documents or settings

It only allows you to use the same email address across multiple separate Dext accounts.

Each Practice and each client business remains fully independent.


How this works for Practices

You already have access to multiple client accounts inside your Practice.

Multi-account management becomes relevant when:

  • You are part of more than one Practice

  • A client needs to access separate Dext accounts under one login

If you are invited to another Practice using the same email address:

  • You can access both Practices from the organisation switcher

  • You log in once using the same credentials


Merge your practice logins

If you are part of more than one Dext Practice and use different email addresses to access them, you can merge your login credentials so you only need one email to sign in.

Important: This does not merge Practices. Each Practice remains completely separate. Only your login credentials are combined.

To merge your logins:

  1. Log in using the email address you want to keep.

  2. Select your Profile icon (top right).

  3. Go to User settings.

  4. Select Merge logins.

  5. Select Merge login details.

  6. Enter the login details for the Practice account you want to merge.

  7. Confirm the merge.

When you confirm:

  • The secondary login credentials are deleted

  • Any SSO linked to the secondary login is removed

  • You retain access to all Practices under the primary email

  • No Practice or client data is changed

After merging, you’ll log in once and switch between Practices using the organisation switcher.


Add the same client user to multiple client accounts

If a client needs access to more than one business, add them as a new user to each additional client account using the same email address.

If you try to update a user’s login email to one that already exists in Dext, you’ll see the error “Email has already been taken”.

This happens because login credentials are unique across Dext.

Instead, add the user to the additional account as usual using the same email address. The system will recognise the existing login.

What if a client already has separate logins?

If your client uses different email addresses for different Dext accounts or previously created multiple Dext logins, they can merge their login credentials.

This allows them to:

  • Keep one email address

  • Access all their Dext accounts under one login

To merge their login credentials, ask them to:

  • Go to Profile (top right) > User settings

  • In the Login details section, select Merge logins

Note: Merging only affects how your client logs in. It does not merge their Dext accounts.


Frequently asked questions

Do you need multi-account management to access multiple clients?

No.

You can already access multiple client accounts within your Practice.

Multi-account management is only relevant if you are part of multiple separate Dext accounts.

Why does a client account appear in my organisation switcher?

This usually happens when a client adds you as a regular user to their business account instead of granting you access through your Practice.

When this happens:

  • The client appears in your organisation switcher

  • You may already have access to the same client through your Practice client list

How to resolve this

Before removing anything, confirm that:

  • The client appears in your Practice client list

  • You can access them from there

If confirmed, the client should remove your regular user access from their business account.

This can be done by:

  • Another Practice user with access to the client, or

  • A Business Admin in the client’s business account

They need to:

  1. Go to Users in the client account

  2. Find your user

  3. Select Manage > Remove

Once removed:

  • The client will no longer appear in your organisation switcher

  • Your access through the Practice client list will remain unchanged

Removing this duplicate user access does not affect your accountant access to the client.

Why do I see “Email has already been taken”?

You’ll see this error if you try to change a user’s login email to one that already exists in Dext.

Instead of editing the existing user, add the same email address as a new user to the additional account.

Can client accounts be merged?

No - Dext accounts cannot be merged. You can only merge login credentials.
