Using Commerce Lite

Connect your Dext account to sales channels including Shopify, Square and PayPal, and pull both sales and fee transactions into the respective cost and sales inboxes for quick and simple coding and publishing.

This means that you don’t have to spend any more time logging into websites, finding documents and downloading them. 


Available Selling Platforms

The current list of available selling platforms are:

  • Ebay
  • PayPal
  • Prestashop
  • Shopify
  • Square
  • Stripe
  • Etsy (UK Only)
  • WooCoommerce

Connecting to a Selling Platform

Important note: Supplier Rules currently do not work for items we pull from these connections.

To connect to a sales channel:

  1. Go to Business Settings, then Connections.
  2. Go to ‘Sales Connectors’ and click the Connect button.
  1. On the Sales Invoice Fetch page, click the Add Connection button.
  1. Find the platform you wish to connect to on the page of Selling Platforms, and click Connect.
  1. You will then be asked to select a document owner. When ready, click Connect.
  1. You will then be prompted to login to your selling platform account. Follow the steps provided until the connection is complete.

Once connected, the platform will be listed under Sales Connectors on the Connections page. From the connection’s page you can configure the connection’s specific settings. 

Important: Before a connection will work you MUST configure the connection settings.

You can add additional Sales Connectors if desired.


Managing Connection Settings

Before you start using a connection it is essential that you configure the connection’s settings. You can adjust the settings at any time by returning to the connection’s settings page. 

To manage a connection:

  1. Go to Business Settings, then Connections.
  2. Go to the ‘Sales Connectors’ section and click the Connect button, OR next to the connection you wish to manage, click the Manage button.
  1. You will be taken to the Commerce lite page, which contains a list of all the sales connections you have made. Next to the connection you wish to manage, click the Manage dropdown, then Settings
  1. You will be taken to the connection’s page.

    From the connection’s page you can set:
  • The type of documents you wish to collect: Just Costs, Just Sales or Costs & Sales
  • The default supplier and/or default customer
  • The date from which you want transactions imported
  • If your business is VAT registered
  • Mapping: map specific types of transactions to a specific category that will be automatically applied to each sale type.

Etsy

If you have an Etsy connection and are VAT registered, you can also set a tax code for the mapped category. 

If you also sell outside of the country you are based in, you can select a rest of world tax code.

What do I do when I think a transaction may be missing?

  1. Go to Business Settings, then Connections. 
  2. Go to the ‘Sales Connectors’ section and click the Manage button, 
  3. Now click the Manage dropdown button, then ‘Force Document Fetch’ to resync your account.

What happens if my integration gets disconnected?

In the event that an integration gets disconnected, for instance revoking Dext Commerce Lite’s access rights from the upstream integration, then simply connect to reconnect the upstream integration again.

Can I import historical transactions?

Yes, Commerce Lite can import up to 90 days of historical data.

Do my mapping settings not update transactions in my cost and sales inboxes?

Mapping and tax settings only apply to new transactions.

Why are some of my transactions not being categorised or are being categorised incorrectly?

Occasionally when new transaction items appear it may take a few days for the automations to be confident enough to categorise them for you.  If you believe that there are mistakes or the they should already be automated, please contact support.

Why are taxes not being applied automatically?

Dext Commerce Lite relies on receiving line item taxes being received by the upstream integration.  To ensure the best possible experience ensure that you have correctly set up your taxes before you start importing transactions.

What do I do if the totals in my PDF are different to the transaction?

The PDF is generated by Dext as a representation of the transaction and occasionally new formats are required resulting in discrepancies in some numbers.  Rest assured that the underlying transaction details in Dext are accurate.

My accounting software is taking a long time to run a report with so many transactions, what should I do?

Cloud based accounting software like Xero, Sage Cloud Accounting or QuickBooks Online typically have a soft limit of 1,000 transactions per month.  If you are finding yourself regularly exceeding these limits then it’s recommended that you “roll up” your individual documents into a daily summary.  This is feature is only available in Commerce Pro.

My business has grown and it takes me too long to manage all the transactions?

As your business grows you may find that the additional features of Commerce Pro are a better fit tol help manage your transactions more effectively.  With features like Custom Mappings, Daily or Monthly Roll Ups and rule based transaction Transforms, you can spend more time automating and less time bookkeeping. 

I’ve outgrown Commerce Lite so how do I upgrade to Commerce Pro?

If I decide I want to downgrade from Commerce Pro to Commerce Lite, can I still use my mappings?

Due to the advanced features of Commerce Pro, it’s currently not possible to downgrade to Commerce Lite but you can still deactivate Commerce Pro and add new Commerce Lite integrations instead.
