To accept a client transfer, open the New Client transfer request email, choose which of your practices to add the client to, then select Accept. This article covers accepting a transfer, choosing how the client's subscription is paid, and declining.
Before you start
Before you can accept a transfer, make sure the following applies.
The other practice entered your Dext login email address when they started the transfer. Only you can accept it, even if colleagues at your practice have the same role.
You're a Practice admin at the practice you want to add the client to.
You've received the New Client transfer request email. This email only arrives once the client's account owner has approved the transfer.
Accept a transfer request
To accept a client transfer, open the request from your email and confirm which practice the client joins.
Open the New Client transfer request email and select the button in it. Log in if Dext asks you to.
On Client connection requests, find the client marked Transfer. It shows the practice that requested the transfer and the client's contact.
Choose the practice to add the client to from Select organisation to connect. If you're part of multiple practice accounts, you'll see all of them listed.
Select Accept.
In the Accept transfer window, choose an option from Select how you want to handle this client's subscription. For details, go to the Choose how the client's subscription is paid section below.
Select Accept transfer.
Note: Client connection requests isn't in the Dext menu for now. Open it from the link in the transfer request email.
Once you select Accept transfer, the client moves to your practice and you can manage their account. The old practice's access ends at the same time.
Choose how the client's subscription is paid
When you accept a transfer, choose who pays for the client's Dext subscription. You can't accept the transfer without choosing.
Pay for them: the client uses one of your practice's business client places. Subscription changes shows how many you'll use after accepting.
Client trial (client pays): the client gets a free 14-day trial of the Dext Business plan, then needs to buy a plan themselves.
If your practice has no business client places left, Client trial (client pays) is selected and you can't choose Pay for them until you upgrade your plan. For steps, go to How to manage your Dext practice subscription
After you accept a transfer
After you accept a transfer, the client's account moves to your practice as it is. Their documents, accounting software connection, publishing settings, users and supplier rules all stay the same.
The old practice's colleagues lose access, and any Account manager, Account assignee or Account reviewer they set is removed. Give your colleagues access and set your own. For the steps, go to How to manage a colleague's access to clients
Decline a transfer request
If you don't want to accept a client, select Decline on their request in Client connection requests. You can choose a reason, but you don't have to. Dext emails the old practice and the client's account owner to let them know, and nothing changes in the client's account.
If you don't respond within 14 days
You have 14 days to accept or decline a transfer request. After that, the request expires and the client stays with their current practice. To take on the client after that, ask the old practice to send a new transfer request.
