How do I accept or decline a transfer to a new accountant?

Your accountant asked to move your Dext account to a new practice? Log in to review the request, then confirm or decline it.

Written by Alexander

If your accountant has asked to move your Dext account to a new accountant, log in to Dext on the web, review the request, then select Confirm transfer or Decline transfer. Nothing changes in your account unless you approve it. This article covers accepting, declining, and what happens to your account afterwards.

Why you've been asked to confirm a transfer

You've been asked to confirm a transfer because your current accountant has started moving your Dext account to another accounting practice. As the account owner, you need to approve the move before it happens. Logging in to Dext confirms it's really you.

You'll get an email from Dext called Confirm transfer to new accountant. It names your current practice, the new accountant, and their email address.

Only the account owner gets this email, and only the account owner can accept or decline. The account owner is the first user added to your Dext account. To check who it is, go to Users, where the account owner has (Owner) next to their name.

Tip: If you don't recognise the new accountant, or weren't expecting this request, contact your current accountant before you do anything. If you decline, nothing changes in your account.

Accept the transfer

To accept the transfer, log in to Dext on the web, review the new accountant's details, and confirm. You can't accept or decline a transfer in the Dext mobile app.

  1. Select Log in in the transfer email. This opens Business settings > Accountant.

  2. Under Confirm transfer to a new accountant, check the details of your current accountant and the new accountant.

  3. Select the checkbox to authorise the transfer of your account and data to the new accountant.

  4. Select Confirm transfer.

The request shows how many days you have left to respond. If you log in to Dext without using the email link, go to Business settings, then Accountant, to find it.

What happens after you accept

After you accept, the new accountant also needs to accept before the transfer completes. They have 14 days to do this, and your current accountant keeps access to your account until then.

  • Dext emails you to confirm you've authorised the transfer and the new accountant has been notified.

  • You can track the request in Business settings > Accountant, under Account transfer request.

  • If the new accountant hasn't accepted yet, select Send a reminder to email them again. You can send a reminder once every 3 days.

  • Dext emails you when the transfer is complete. From then on, the new accountant manages your Dext account and your previous accountant no longer has access.

  • If the new accountant declines or doesn't accept within 14 days, nothing is transferred and your account stays with your current accountant. Dext emails you to let you know.

What stays the same in your account

Your Dext account stays the same account after the transfer. Dext doesn't create a new one or copy your data across. Your receipts, invoices and history stay where they are, and so do:

  • your connection to your accounting software and your publishing settings

  • your users

  • your rules

  • your Extract by email addresses

  • your bank feeds and Fetch connections

Will my Dext subscription change?

Your subscription depends on what the new accountant chooses when they accept the transfer. They can either pay for your Dext subscription, or start you on a free 14-day trial of the Dext Business plan.

If you're on a trial, buy a plan before it ends to keep extracting your documents. If the trial ends without a plan, you can still access and download your data. For the steps, go to How to buy a plan for your Dext business account

Decline the transfer

To decline the transfer, open the request and select Decline transfer. Your account stays with your current accountant.

  1. Select Log in in the transfer email, or go to Business settings > Accountant.

  2. Select Decline transfer.

  3. Choose a reason if you want to, or select Other and enter your own. This is optional.

  4. Select Decline transfer to confirm.

Dext emails your current accountant to let them know. Nothing changes in your account.

If you don't respond within 14 days

If you don't accept or decline within 14 days, the request expires and nothing is transferred. Your account stays with your current accountant.

If you still want to move to the new accountant, ask your current accountant to send a new transfer request. You'll need to accept the new request, even if you accepted the earlier one.

If your current accountant cancels the transfer

Your current accountant can cancel the transfer at any time before the new accountant accepts it. If they do, Dext emails you to let you know. Nothing is transferred, and your records stay in your account.

Other ways to change your accountant

You don't have to wait for your accountant to start a transfer. You can also remove your current accountant's access and invite a new one yourself. For the steps, go to How to remove or change your accountant's access to your Dext account
