Using Bank Statement Extraction

Learn how to upload, extract, and manage PDF bank statements in Dext. Set up accounts, resolve errors, and export transaction data with ease.

Upload your PDF bank statements to Dext and have every transaction automatically extracted into your account.

This guide walks you through the entire process, including setting up bank accounts, uploading statements, managing extracted data, and addressing any issues that may arise.

Important: Only Admin users are allowed to access this feature. Bank Statement Extraction has usage limits depending on your plan. If you exceed your plan's limit, additional charges may apply.

Tip: Practice Admins can view usage limits on Practice settings > Subscription, and Business Admins can find usage info under Business settings > Subscription.


Set Up a Bank Account in Dext

Before you can begin uploading bank statements, you need to create a corresponding bank account in Dext manually.

How to Add a Bank Account

1. Go to Bank > Bank Accounts from the sidebar.

2. Click the Add bank account button at the top of the page.

3. Choose Manually, then click Continue.

4. Use the Bank drop-down to select your bank, enter the account name and number, and select the correct currency.

5. Once you’re ready, click Continue to finish creating the account.

The new bank account will now appear in your list. You can edit or delete the account later by clicking the Manage option next to it.

Note: You’ll need to delete all associated bank statements before you can delete a bank account.

What to Do If Your Bank Isn’t Listed

If your bank doesn’t appear in the drop-down list during setup:

  • Click Request your bank

  • Enter your bank’s name

  • Upload an example bank statement

  • Click Submit

Our team will review your request and confirm via email whether your bank can be added to the list of supported banks.


Upload Your Bank Statements

Once you’ve added a bank account, you can begin uploading your statements to Dext.

Upload Process

1. Click Add Documents in the top left or right corner of your screen.

2. Switch to the Bank tab.

3. Choose the bank account that matches the statement you're uploading.

4. Select the files from your computer, or drag and drop them onto the highlighted green area.

Requirements to keep in mind:

  • Each file should contain only one statement for a single bank account

  • File size must be 50MB or less

  • Limit of 300 pages per file

  • Scanned documents should be at least 200dpi resolution

Processing Times

Digital (native) PDFs from online banking systems are processed much faster than scanned documents. While scanned PDFs can take up to 24 hours, about 75% of all statements are extracted within 4 hours, and some digital PDFs are processed in just minutes.


Monitor Your Uploads

Once uploaded, your bank statements appear in the Bank > Statements > Collected tab while they are being processed.

After extraction is complete, they are moved to the Processed tab.

If you manage multiple bank accounts, use the drop-down list to switch between them.

If a statement is rejected, it will remain in the Collected tab. Hover over the "Rejected" status to view the reason for rejection.


Common Reasons for Statement Rejection

Not all bank statements can be processed. Here are common reasons your file might be rejected:

  • It contains statements from multiple banks or accounts

  • The document is a photo taken by a camera (not a scan)

  • The scan quality is too low (below 200dpi)

  • The file combines different formats, like a mix of scanned and digital pages

  • There's heavy handwriting on transaction lines

  • The statement has no transactions or contains missing pages

Note: You won’t be charged for rejected statements.


Duplicate Uploads

If a file you upload matches one that was previously submitted, Dext will automatically reject it to avoid duplicate processing.

  • The rejection message will include the Source ID and the associated bank account

  • Click the Source ID to jump to the original statement


Managing Your Bank Statements

Moving a Statement to Another Account

Uploaded a statement to the wrong bank account? You can fix that easily:

1. Go to Bank > Statements > Processed

2. Select the incorrect statement by ticking the checkbox, and click Assign bank account

3. Choose the correct bank account, then click Assign

The statement will now be visible under the correct account.

Reporting Extraction Errors

If the data extracted from a statement looks incorrect (for example, some transactions are missing descriptions):

  1. Go to Bank > Statements > Processed

  2. Tick the checkbox next to the affected statement

  3. Open the Tools menu and select Report mistake


This will resubmit the statement for reprocessing, free of charge.

Exporting Bank Statements

You can download both the extracted transaction data and the original uploaded PDF:

  • Go to Bank > Statements > Processed

  • Click Export on the right to download all transactions as a CSV

  • Click the Download icon on the left to get the original PDF file

Note: You can’t publish bank statements directly within Dext. You’ll need to export and upload them manually to your accounting software.


Detecting Missing Bank Data

Dext can automatically identify periods of missing transaction history between uploaded statements by comparing the opening and closing balances and dates.

How to Enable Missing Period Alerts

  1. Go to Business settings > Extraction

  2. In the Bank statements section, enable the Missing period toggle


Once turned on, Dext will display alerts in Bank > Statements > Processed whenever it detects missing periods between uploads.

Resolving Gaps in Data

  1. Click Resolve next to the alert

  2. Select Add Documents from the menu

  3. The upload window will appear with the correct bank account preselected

Upload the missing statement to close the gap. To dismiss the alert without uploading a file, choose Dismiss from the same menu.


Managing Extracted Transactions

All transactions extracted from your uploaded bank statements can be found under Bank > Transactions.

If you have multiple bank accounts, use the drop-down to switch between them.

Searching and Filtering Transactions

You can easily find specific transactions using:

  • Advanced search, where you can search by description, amount, or date

  • Filters, which let you view transactions based on:

You can also customize the table view by clicking the Table settings (gear icon) to show or hide columns.

Exporting Transactions

You have two options for exporting:

  • Export all transactions: Click Export all and choose your preferred CSV format

  • Export selected transactions: Tick the checkboxes next to the ones you want, then click Export


Frequently Asked Questions (FAQs)

Do I need to be an Admin to use Bank Statement Extraction?

Yes, this feature is only available to Admin users.

How long does the extraction process usually take?

It can take up to 24 hours, but most digital statements are processed in under 4 hours. Some are completed in just a few minutes.

Can I upload credit card statements to Dext?

Yes, credit card statements can be uploaded just like regular bank statements. Make sure each file follows the same format and requirements for successful extraction.

What types of files can I upload?

Only PDF and TIFF files are supported. Both scanned and digital PDFs are accepted, though digital ones process much faster.

Will I be charged for failed uploads or duplicates?

No. If a file is rejected or flagged as a duplicate, you won’t be charged.

What happens if a statement is missing information?

You can use the "Report mistake" option to flag the issue, or enable missing period alerts to help identify gaps in your data.

Can I export statements and transactions?

Yes. You can export extracted transactions as CSVs or download the original PDF file.

My bank isn’t listed. What should I do?

You can request it to be added during manual bank account creation by uploading a sample statement.
