Requesting paperwork for bank transactions

Learn how to request paperwork for unmatched bank transactions in Dext. Send reports to clients or team members, track responses, and download reports in PDF or CSV.

The Request Paperwork feature allows you to create a report of bank transactions that don’t have matching receipts or invoices.

You can send this report to your team - or, if you're a Dext Partner, to your clients - so they can quickly see what’s missing and upload the necessary paperwork.

Important: This feature is only available for Admin users in Partner accounts.

Dext clients cannot send paperwork requests, but can receive and respond to them. As a Dext Partner, you automatically have Admin access to client accounts.


How to request paperwork

To send a paperwork request for unmatched bank transactions:

1. Go to Bank > Transactions in the relevant account.

2. Use the filter icon in the top right corner to filter by Without requested paperwork. This shows only transactions without matching documents.


3. Select the transactions you want to include in the request and click the Request paperwork button at the top of the page.


4. You'll see a list of the selected transactions. At the top of the screen:

  • Select the recipient for the request.

  • Optionally, add notes to individual transactions to give more context.

Note: Only users who have downloaded the Dext Mobile App will appear in the recipient list.

5. Next, you can click Export to download the report to CSV or PDF. This is helpful if you need to share the report or keep a record outside of Dext.

6. When you're ready, click Send. The recipient will receive a notification in their Mobile App with the list of missing paperwork.

7. After sending, a history of the request will appear in the Paperwork Requests column on the Transactions page.


Requesting paperwork from the Clients list

You can also request paperwork from the Clients list:

  • Scroll to the right until you see the Requested paperwork column.

  • The number in this column shows how many transactions are awaiting paperwork from that client.

  • Click the number to view the transactions.

This is a quick way to manage multiple client requests from one place.


Responding to a paperwork request in the Mobile App

If you’ve received a paperwork request, you can respond from the Dext Mobile App:

1. Tap the Notifications icon in the top right corner of your Costs Inbox screen.

2. Navigate to the Paperwork requests tab.

3. Tap the transaction you want to respond to.

4. Choose to either Dismiss the request or Submit paperwork.

5. Upload your paperwork by taking a photo or selecting an image from your photo library.


What happens after paperwork is submitted?

  • If a client uploads the required paperwork, the transaction will automatically update to Match found in the Match column on the Transactions page.

  • If the client dismisses the request or cannot provide documentation, the transaction will show as Unavailable paperwork.
