How to add multiple users to Dext

Add multiple users or colleagues to Dext at once by entering details manually or uploading a CSV file from the Users page.

You can add multiple users to a business account or multiple colleagues to a practice account in Dext. There are 2 methods: enter user details manually, or upload a CSV file with everyone's information at once.


Add multiple users to a business account

To add multiple users to a business account, go to the Users page in the Dext web app and start the bulk-add flow. From there, you can either enter users manually or upload a CSV file.

  1. Go to Users in the Dext web app.

  2. Select Add multiple users.

  3. Choose to add users manually or upload a CSV file.

To add users manually, enter each user's details directly in the form and assign their role.

  1. Enter the first name, last name, email, and mobile number for each user.

  2. Choose a role for each user from the role dropdown.

  3. Select Add.

Upload users via a CSV file

To upload multiple users at once, download the CSV template from Dext, fill it in with user details, then upload it back.

  1. Download the CSV template from the Add multiple users screen.

  2. Fill in the user details, making sure phone numbers include the country code (UK = 44, US/Canada = 1), the area or network code, and the full number, with no special characters.

  3. Upload the completed file.

  4. Assign roles and choose how to send invitations.

  5. Select Add.

Note: You can resend invites later from the Users page if anyone misses the original invitation.


Add multiple colleagues to a practice account

If you're managing a practice account, you can add multiple colleagues from the Team section instead of Users. The process matches the business account flow, but you'll also assign which clients each colleague can access.

  1. Go to Team in the Dext web app.

  2. Select Add multiple colleagues.

  3. Add colleagues manually or via CSV upload using the same steps as a business account.

  4. For each colleague, assign the clients they should have access to.

What happens when you invite an existing Dext user

What happens when you invite someone depends on whether they already have a Dext account and whether their email is verified.

If the user already has a verified Dext account

If the user already has a verified Dext account, they're added to your account automatically. The next time they log in, your business appears in their account switcher.

If the user hasn't verified their email yet

If the user hasn't verified their email yet, their status shows as Pending invitation in the Users section, and the invite is valid for 2 weeks.

Until they accept the invite:

  • They're added as a Document Owner only.

  • You can assign items and submit documents on their behalf.

  • They can't log in, submit documents themselves, or use the account switcher.

When they accept the invite, their email is verified, and they get full access based on their assigned role.


Troubleshooting

If you run into issues when adding multiple users, the most common cause is a duplicate user in the CSV file.

"Creation of users failed" error when uploading a CSV

This error usually means the CSV file includes a user who already exists in the account or practice — including deactivated users.

To fix it:

  1. Remove the duplicate user from the CSV.

  2. Re-upload the file. The rest of the users should be added successfully.
