Managing your practice's Vault plan works in two stages: buy bundles of AI credits and storage for your practice, then assign them to individual clients. In Practice settings, this shows as the Vault+ card; within each client's account, it shows simply as Vault.
Note: Only Practice Admins can upgrade or assign Vault plans, whether from Practice settings or from within a client's account.
Buy Vault bundles for your practice
To increase your practice's shared pool of AI credits and storage, buy more Vault bundles from Practice settings:
Go to Practice settings, then Subscription.
Under Client usage, find the Vault+ card and select Upgrade plan.
Choose how many bundles to buy. Each bundle adds 50 AI credits per month and 5 GB of storage to your practice's shared pool. Select Review upgrade.
Check the plan summary, including what you'll pay from your next billing date and the payment method that'll be charged, then select Upgrade to confirm.
Assign Vault bundles to a client
To give a specific client access to Vault, assign some of your practice's bundles to their account from within that client's Business settings.
Open the client's account, go to Business settings, then under Manage, select Subscription.
Find the Vault card and select Upgrade plan.
Review the client's current usage — AI credits reset every month, but storage is permanent once assigned — then choose how many bundles this client needs and select Review plan.
Check what the client will get and how many bundles you have left to assign across your practice, then select Confirm upgrade.
Check Vault usage across your clients
To see how much AI credit and storage each client is using, check Vault usage from Practice settings.
Go to Practice settings, then Subscription.
Under the Vault+ card, select Check usage.
Review the Vault client usage screen, which lists each client's practice code, AI credit usage, storage usage, and current Vault plan for the billing period shown. Select Export CSV to download the report.
