Submitting Items Using Dropbox

Automatically upload receipts, invoices, and sales documents to Dext using Dropbox. Learn how to connect, manage folders, submit items, and troubleshoot issues.

You can connect your Dropbox account to Dext to upload Costs and Sales items automatically. When connected, Dext creates a dedicated Dext folder inside your Dropbox account.

Any document you place inside the Receipts, Invoices, or Sales folders will be uploaded to the appropriate workspace in Dext.

Important: Each file you upload is treated as a single transaction. If you have one image containing multiple receipts or invoices, use Direct Upload instead.


Set up a Dropbox connection

Follow the steps below to connect Dropbox to your Dext account.

1. Enable the Dropbox integration

  1. Go to Business settings > Connections.

  2. Under Cost connections, click Connect.

3. Select the Dropbox tab and click Enable Dropbox.

2. Authorise Dropbox

Log in to your Dropbox account and approve the requested permissions.

Once complete, Dext creates a folder at Dropbox > All files > Apps > Dext (older accounts may see a folder named Receipt Bank).

Important: Do not rename or move this folder - doing so prevents Dext from uploading your items.

3. Create user folders

After enabling the integration:

  1. Return to the Dropbox connection page in Dext.

  2. Click Setup folders to create subfolders for each user in your Dext account.

4. Optional: Enable upload failure notifications

If you want to be notified when Dropbox uploads fail:

  1. Go to User settings (top right corner).

  2. Under Bookkeeping email notifications, set On acknowledgement to Yes.

Note: Dext begins processing uploads 12 hours after the Dropbox connection is first created.


Disconnect a Dropbox connection

You can disable individual folders or remove the Dropbox integration completely.

  1. Go to Business settings > Connections.

  2. Under Cost connections, click Manage next to Dropbox.

  3. Choose one of the following:

    • Click Disable beside individual folders to stop uploads for specific users.

    • Click Disable Dropbox Integration to remove the entire connection.


Submitting Costs and Sales items via Dropbox

Inside the Dext folder created by the integration, you’ll find three upload folders:

  • Receipts

  • Invoices

  • Sales

Submit a Costs document

  1. Upload the file to either the Receipts or Invoices folder.

  2. Dext automatically extracts the document and places it in your Costs inbox.

Submit a Sales document

  1. Upload the file to the Sales folder.

  2. Dext automatically extracts the document and places it in your Sales inbox.


FAQ

Why aren’t my Dropbox uploads appearing in Dext?

  • The most common cause is a renamed or moved Dext folder in Dropbox.

  • The folder must remain in the exact location created during setup.

  • Also, check that the connection has been active for at least 12 hours, as uploads begin after this initial delay.

Can I rename the Dext folders in Dropbox?

No. Renaming or moving the Dext or Dext folders prevents Dext from uploading your items successfully.

Do shared Dropbox folders work?

No. The integration only works with the folder automatically created in Dropbox > Apps > Dext. Shared folders are not supported.

Why are items being rejected or failing to upload?

Ensure the file is a supported image or PDF, the folder name is correct, and the document contains only one transaction. Multi-receipt images should be uploaded using Direct Upload.

A new colleague joined - why don’t they have a folder?

User folders do not generate automatically after the initial setup. Go to the Dropbox connection page in Dext and click Initialize missing folders.

Can I disable uploads for one user only?

Yes. Go to Business settings > Connections, click Manage next to Dropbox, and disable the specific user folder.

What happens if I delete the Dropbox integration?

Dext will stop monitoring your Dropbox folders immediately. Any files already uploaded remain in your Dext inbox, but no new uploads will be processed.
