When you publish items from Dext to KashFlow:
Costs and Expense claims appear in Purchases > Purchase invoices
Sales items appear in Sales > Sales invoices
Before you publish for the first time, you may want to set up two optional settings: publishing tax data and publishing images.
Publish tax data
By default, Dext publishes items to KashFlow without tax data. To include tax, you need to enable the Publish tax data toggle in your KashFlow connection settings.
To enable tax publishing:
Go to Business settings > Connections.
Select Manage next to KashFlow, then select Settings.
Scroll down to the Tax section.
Set Publish tax data to Yes.
You can also set default tax codes for costs and sales from this page. These apply to all items unless overridden by supplier and customer rules or on the Item details page.
Publish item images to KashFlow
To attach document images to items published to KashFlow, you need to:
Connect Dropbox to your KashFlow account
Enable Publish to KashFlow with images in Dext
These are two separate integrations. The Dropbox connection in KashFlow and the image publishing setting in Dext are independent of each other - both must be set up for images to publish correctly.
Step 1: Connect Dropbox to KashFlow
Follow the instructions in KashFlow's Dropbox setup guide to connect your Dropbox account to KashFlow.
Step 2: Enable image publishing in Dext
Go to Business settings > Connections.
Select Manage next to KashFlow, then select Settings.
Scroll down to Publish to KashFlow with images and set the toggle to Yes.
Once both are set up, document images will be attached to items when you publish from Dext. You can view them in KashFlow by opening the item in Purchases and selecting the Files tab.
If images aren't appearing after publishing
If you set up the Dropbox integration or enabled image publishing after already publishing some items, those items won't have images attached. To fix this, delete the original entries in KashFlow and republish the items from Dext.
If images still aren't appearing after republishing, your Dropbox account may need email verification. To check:
Log in to your Dropbox account.
Go to Apps > KashFlow > Receipts > select any folder.
Try to share a file. If prompted to verify your email, check your inbox and complete verification.
How credit notes publish to KashFlow
Credit notes publish to KashFlow based on their payment status and date in Dext:
If marked as Paid in Dext, the credit note publishes to KashFlow as paid.
If marked as Not paid and the date is in the past, it publishes as overdue.
If marked as Not paid and the date is in the future, it publishes as not paid.
