If your practice has multiple teams or offices, use Teams and Locations to group your colleagues, then filter the Bookkeeping and Time spent insights by team or location. This article covers how to create and manage teams, and how to assign locations to colleagues.
Important: This feature is available only for accountants and bookkeepers on the Practice Advanced plan. Go to Dext plans for accountants and bookkeepers for details.
Create and manage teams
To create and manage teams, go to Team > Teams in the left navigation. Teams let you group colleagues together and control which clients each group can access. A colleague can belong to more than one team.
Create a team
To create a team, go to Team > Teams and select Create a team:
Go to Team > Teams.
Select Create a team.
Enter a team name and choose the colleagues to add as members.
Select Next, then choose which clients the team should access and turn on Bookkeeping access, Data Health & Insights, or Account manager for each.
Select Create.
Update a team's name or members
To update a team's name or members, go to Team > Teams and select Manage next to the team:
Go to Team > Teams.
Select Manage next to the team you want to update.
On the Team details page, edit the Name field, or select Assign members to add colleagues.
To remove a member, select the X next to their name.
Delete a team
To delete a team, go to Team > Teams, select Manage next to the team, then select Delete team:
Go to Team > Teams.
Select Manage next to the team you want to remove.
Select Delete team in the sidebar.
Select Delete team again to confirm.
Deleting a team means you can no longer filter Insights by that team. It doesn't affect the colleagues or clients that were in it.
Manage which clients a team can access
A team's client access controls which clients its members can work with, separate from any individual colleague's own permissions.
View a team's client access
To view which clients a team can access, go to Team > Teams, select Manage next to the team, then select Client access:
Go to Team > Teams.
Select Manage next to the team you want to review.
Select Client access in the sidebar.
You'll see every client currently assigned to the team, along with whether the team has Data Health & Insights and Account manager access to each one.
Assign new clients to a team
To assign new clients to a team, select Assign clients on the Client access page:
Select Assign clients.
Turn on Bookkeeping access for each client you want to add. You can also turn on Data Health & Insights or Account manager access at the same time.
Select Assign clients to save, or Close to cancel.
Bulk edit a team's client access
To change access for several clients at once, tick their checkboxes and select Bulk edit:
Tick the checkbox next to each client you want to update.
Select Bulk edit.
Choose a new value for Data Health & Insights or Account manager, or leave either as No change.
Select Bulk edit to confirm.
Note: A bulk change to Data Health & Insights only applies to clients that already have that feature turned on.
Unassign clients from a team
To remove clients from a team, tick their checkboxes and select Unassign:
Tick the checkbox next to each client you want to remove.
Select Unassign.
Select Unassign clients to confirm.
Unassigning a client removes the team's access to it straight away. You can reassign the client from Assign clients at any time.
Create and manage locations
To create and manage locations, go to Team > Locations. Locations let you group colleagues by office, so you can filter Insights by where a colleague works.
Create a location
To create a location, go to Team > Locations and select Add location:
Go to Team > Locations.
Select Add location.
Enter a location name.
Select Add.
Assign a colleague to a location
To assign a colleague to a location, go to Team > Colleagues and use the Location dropdown next to their name:
Go to Team > Colleagues.
Find the colleague you want to assign.
Use the Location dropdown next to their name to select a location, or type a new location name and select + Add "New location" to create one directly from the dropdown.
Tip: If you don't see the Location column, select the settings icon in the top right of the Colleagues page, tick Location, then select Apply.
A colleague can only be assigned to one location at a time.
Delete a location
To delete a location, go to Team > Locations and select Delete next to it:
Go to Team > Locations.
Select Delete next to the location.
Select Delete again to confirm.
You can also delete several locations at once. Tick the checkbox next to each location you want to remove, then select Delete at the top of the list.
Filter Insights by team or location
Once you've set up teams and locations, you can use them to filter data in the Bookkeeping insight and the Time spent insight.
