Reviewers are team members who check a completed workflow before it's marked as done. You can add up to 2 reviewers per workflow — a first reviewer and an optional second reviewer. Adding reviewers is optional.
Note: Workflows are available on the Practice Advanced plan. All roles in a Practice account can be assigned as reviewers. Standard users can only be set as reviewers for clients they've been granted access to.
Add reviewers to a workflow
Reviewers are assigned when you create a workflow, in the Add clients step. For each client, set the First reviewer and optionally a Second reviewer using the dropdowns in the client table.
If you've already set an Account Reviewer for a client, this will be pre-filled automatically.
To change the reviewers on a workflow, select the three-dot menu on the workflow card in the Workflow List and select Edit workflow.
Note: Once a workflow is in progress, you can still update the assignee and reviewers. Select the three-dot menu on the workflow card and select Edit workflow.
Submit a workflow for review
Once all checks in a workflow have been marked as complete, complete with issues, or not applicable, the assignee can submit the workflow for review. Select Submit for review in the top right corner of the workflow.
The first reviewer will receive an email notifying them that the workflow is ready for their review. The workflow moves to Under review status in the Workflow List.
Note: Once submitted, the workflow is locked for the assignee — only the reviewer can take action on it from that point.
Review a workflow
To review a workflow, go to Workflows and select List. Find the workflow in the Under review column and select Review workflow.
Inside the workflow, you can read through the checks, comments, and any attached files the assignee has left. You can also add your own comments and files to individual checks.
Select the History tab to see a full timeline of what's been done — which checks were completed, when, and by whom.
Once you've completed your review, you have two options:
Complete review — approves the workflow and passes it to the second reviewer if one is assigned, or marks it as complete if you're the only or final reviewer.
Hand back — returns the workflow to the assignee. A text field appears where you can leave a message explaining what needs to be addressed. Your message is included in the notification email sent to the assignee.
After a hand back
When a reviewer hands back a workflow, it returns to In progress status. The assignee receives an email with the reviewer's message. The hand back is recorded in the History tab as Workflow Review Rejected.
The assignee can address the issues, then submit the workflow for review again.
After a review is complete
Once the final reviewer selects Complete review, the workflow moves to Completed status in the Workflow List.
