How do I receive eInvoices in Dext?

Register your Australian business to receive eInvoices from suppliers through PEPPOL. They arrive in your Dext costs inbox.

Written by Alexander

Dext users in Australia can register to receive eInvoices from suppliers. Once you register, suppliers can send eInvoices directly to your costs inbox through the PEPPOL network. This works for business accounts and client accounts.

Dext applies your rules and automation to eInvoices the same way as to all other items, so check your existing rules before you register. For more details, go to Rules and automation in Dext

What do I need to register for eInvoicing?

To register for eInvoicing in Dext, you need these details:

  • ABN (Australian Business Number) of your business

  • Legal entity name as registered with the Australian Business Register (ABR)

  • Legal business address

  • Business representative's name and contact details

  • Legal representative's name and contact details

eInvoicing is included in the Business, Practice Essentials, and Practice Advanced plans, at no extra cost.

Your ABN must also be saved in your business profile. If your business is connected to Xero, Dext can import your ABN from Xero, but it doesn’t overwrite an ABN you entered yourself. With other accounting software, enter your ABN yourself.

If the Register for eInvoicing button is unavailable, go to Business settings, then Business profile. Make sure your country of registration is set to Australia, then add your ABN.

If your ABN is already registered to receive eInvoices through another provider, deregister with that provider first. You can't receive eInvoices for the same ABN through Dext and another provider at the same time.

How do I register to receive eInvoices?

Complete the registration

To complete your registration, work through the 3 steps in the Register for eInvoicing panel: Verify your business, Company address, and Contacts.

  1. On Verify your business, check your ABN. Dext fills it in from your business profile, so you can't change it here.

  2. Check that your legal entity name matches the ABR exactly, and edit it if it doesn't. Select Next.

  3. On Company address, enter your Business address and City/Town. Dext fills in the state and ZIP code from the ABR. Select Next.

  4. On Contacts, enter the first name, last name, and email address for your business contact and your legal contact. Phone numbers are optional.

  5. If your business contact and legal contact are the same person, select Same as business contact in the Legal contact section.

  6. Agree to the Terms and Conditions and Privacy Policy, and confirm the information is accurate and you're authorised to give it, then select Save.

After you register successfully, eInvoices from your suppliers arrive in your costs inbox.

How do I view and edit an eInvoice?

To view and edit an eInvoice, open it from your costs inbox:

  1. Go to Costs, then Inbox.

  2. Select the item you want to edit to open its item details.

  3. Look for the banner that says "This is an eInvoice".

Dext fills in the item from the data in the eInvoice:

  • Supplier name and whether it’s an invoice or a credit note

  • Invoice number and the issue and due dates

  • Currency, total, tax, and paid status

  • Description, quantity, net amount, and tax of each line

On the item details page, you can edit the item and set supplier rules before you publish it. Dext also checks eInvoices for duplicates, using your duplicate detection settings. For more details, go to How to use supplier and customer rules in Dext

How do I find my eInvoices?

To find your eInvoices, filter by submission method in Advanced search:

  1. In Costs inbox or Submission history, select Advanced next to the search box.

  2. In the Submission method field, select Via eInvoicing.

  3. Select Apply.

How do I change my eInvoicing details?

To change the details you gave when you registered for eInvoicing, go to the eInvoicing tab and select Edit details. To open the tab, go to Business settings, then Connections, and select Connect in the Cost connections section.

You can change your business address, city or town, and the names, email addresses, and phone numbers of both contacts. Your ABN, legal entity name, country, state, and ZIP code are read-only.

Your registration keeps the ABN you registered with. If your ABN changes later, in your business profile or in Xero, your eInvoicing registration doesn’t update.

Frequently asked questions

These answers cover deregistering, receiving eInvoices at another address, and fixing common registration problems.

How do I deregister from receiving eInvoices?

To deregister from eInvoicing in Dext, use the Deregister from eInvoicing button on the eInvoicing tab:

  1. Go to Business settings, then Connections.

  2. In the Cost connections section, select Manage next to eInvoicing.

  3. On the eInvoicing tab, select Deregister from eInvoicing.

  4. When Dext asks if you want to cancel your registration for eInvoicing, select Deregister from eInvoicing to confirm.

Dext keeps the eInvoices you've already received. While you're not registered with Dext or anywhere else, suppliers can't deliver eInvoices to you. You can register again later, and the same checks apply.

Deregistering stops eInvoices from all your suppliers reaching Dext, not just from one.

Can I receive eInvoices at a different email address?

No. Suppliers send eInvoices to the ABN you registered, not to an email address, so changing the email in your business or contact details doesn’t change where they go.

To stop receiving eInvoices in Dext, deregister from eInvoicing. After that:

  • To get invoices by email, ask your suppliers to email them to you instead of sending them as eInvoices.

  • To keep receiving eInvoices in another application, register your ABN with that provider.

Why haven't I received an eInvoice?

If an eInvoice from a supplier hasn't arrived in your costs inbox, check these things first:

  • The supplier sent it over PEPPOL, not as a PDF by email

  • The supplier used the correct ABN for your business

  • Dext is your current eInvoice provider

  • Auto-publish or duplicate detection hasn't already moved or removed the item

If none of these explain it, contact Dext support with the supplier's invoice reference and your business ABN.

Why can't I register for eInvoicing?

If you can't register for eInvoicing, check the message Dext shows against the reasons below.

The legal entity name doesn't match

If Dext says your legal entity name doesn't match, the name you entered differs from the one in the ABR. Enter the legal entity name exactly as it appears in the Australian Business Register and select Next again. If Dext asks you to update your business name, change it in Business settings. A close match shows a message you can continue past.

The legal entity name is too long

The legal entity name can have up to 64 characters. If yours is longer, contact Dext support, because there's no way to shorten it yourself.

The ABN is already registered

If Dext shows "The ABN entered is already registered in the PEPPOL network.", your ABN is already registered to receive eInvoices. Deregister with your current provider, then try again once your ABN is released. If you don't know of an existing registration, contact Dext support.

The ABN or contact details are missing

To register, your business profile must have an ABN that's active in the ABR. Each contact also needs a first name, last name, and valid email address, and you must select both confirmation checkboxes.

Dext says the service is temporarily unavailable

If Dext shows "Service temporary unavailable. Please try again later", wait a while and try again. If the message keeps appearing, contact Dext support with your business account and the exact message.
