To submit mileage claims in Dext, add at least one vehicle to your account. This article covers how to add, edit, and delete a vehicle, and which vehicle types Dext supports in each region. These steps are for the Dext web app.
Note: Admins, including accountants and bookkeepers working in a client account, can view and manage all vehicles, and add company vehicles. Standard users can add and edit their own personal vehicles, and see company vehicles assigned to them. They can't see other users' vehicles.
Add a vehicle
To add a vehicle, go to the Vehicles list in Business settings.
Go to Business settings > Lists
Select Vehicles
Select Add
Enter a Name for the vehicle
Choose the Ownership: Company or Personal
If you chose Company, select the users to assign the vehicle to in the Assigned to field.
Choose the Type
Enter the Number plate
Choose the Fuel: Diesel, Electric, Hybrid Petrol, Hybrid Diesel, LPG, or Petrol
For non-electric vehicles, enter the Engine size in cc
Select Save
Edit a vehicle
To edit a vehicle's details, open it from the Vehicles list.
Open the Vehicles list
Select the Personal or Company tab
Select the vehicle
Update the details
Select Save
Note: Changes to vehicle details apply only to future mileage claims. Past claims don't automatically update. If your revised details affect the rate, you may need to delete and resubmit earlier claims.
Delete a vehicle
To delete a vehicle, open it from the Vehicles list.
Open Vehicles
Select the vehicle
Select Delete, then confirm
Note: If you delete a vehicle linked to an existing mileage claim, that claim is also deleted. The distance from that claim is deducted from the cumulative total, but the individual trips remain visible under Costs. This can't be reversed.
