Repeating workflows are managed from the Repeating page in Workflows, separate from the Workflow List, which shows individual workflow instances. This article covers how to view, edit, delete, and check the history of an existing repeating workflow. To create a new one, go to How to create a repeating workflow

View your repeating workflows
To view your repeating workflows, go to Workflows, then select Repeating. Each entry summarises the workflow's schedule, along with how many clients and checks it includes.
Deleting a workflow instance from the Workflow List only removes that instance. The repeating workflow itself continues to create new instances on schedule.
Fix clients with incorrect settings
If a repeating workflow has clients with missing or incorrect VAT or year-end settings, Dext flags it so you can fix them. These settings are needed to generate the workflow's checks.
On the Repeating page, a banner appears at the top of the list if any workflow is affected. Affected workflows show an icon and a label naming the setting that needs attention, such as Clients with incorrect VAT settings.
Opening an affected workflow shows a message in the Clients section naming what needs attention. Select Edit clients to go straight to the client's settings.
Clients with missing or incorrect settings are highlighted in the client table with an icon.
To fix this, update the client's VAT or year-end settings so Dext can generate their workflow.
Edit a repeating workflow
To edit a repeating workflow, select the three-dot menu next to it, then select Edit workflow. You're taken back through the creation steps to make your changes. Select Update workflow to save.
Important: Changes to a repeating workflow only apply from the next scheduled instance. They won't affect any workflow instances already in progress. If you need to apply changes to the current period, go to How to create a one-off workflow
Delete a repeating workflow
To delete a repeating workflow, select the three-dot menu next to it, then select Delete workflow. Deleting a repeating workflow stops it from creating new instances. It won't affect workflow instances already in the Workflow List. Those continue as normal.
Important: You can only delete repeating workflows you created, though practice admins can delete any repeating workflow.
View repeating workflow history
To view the history of a repeating workflow, select the three-dot menu next to it. Select View history.
The history page shows a chronological timeline of changes to the repeating workflow, such as settings updates and client or assignment changes. It also logs when workflow instances were created or skipped.
Each entry shows the timestamp, the team member who made the change, and a summary of what changed. Select View all changes on any entry to see the full details.
The right-hand panel shows the workflow's current settings and an Edit shortcut.
Note: History is only recorded from 22 April 2026 onwards. Repeating workflows created before this date don't show events before that date.
