Workflow Templates are the foundation of every workflow in Dext. Each template defines the set of checks a workflow contains and the order in which they appear. When you create a workflow, you select a template — either one of Dext's pre-built templates or one you've built yourself.
Note: Workflows are available on the Practice Advanced plan. All roles in a Practice account can access Workflow Templates.
Create a template
To create a Workflow Template, go to Workflows in the sidebar of your Practice account, select Templates, then select Create new template.
In the form that appears:
Enter a name in the Template name field.
Add a description in the Description field to help your team understand the purpose of the template.
Select a Template icon that reflects the purpose of your template. The options are: Onboarding client, Pricing existing client, Quoting new client, Reporting, and Year-end.
In the Available checks panel, find the checks you want to include and select Add to move them to the Selected checks panel. Use the search field to find a specific check. Both Dext's built-in checks and any custom checks you've created will appear here.
In the Selected checks panel, drag checks into the order you want your team to work through them.
Select Save.
For a full explanation of each built-in check, see Data Health checks.
Note: You can also create a template on the fly when creating a workflow by selecting Make your own template in the Select template step. Templates created this way are saved to your Templates library and can be reused.
Edit a template
To edit a template, select the three-dot menu to the right of the template and select Edit template. Make your changes and select Save.
Important: If the template is linked to a Repeating Workflow that's already started, your changes won't apply to the current period. They'll take effect from the next scheduled instance of that workflow. If you need the changes to apply to the current period, create a One-off Workflow with the updated checks for that period.
Duplicate a template
To duplicate a template, select the three-dot menu to the right of the template and select Duplicate template. A copy of the template will appear in your Templates list, which you can then edit and rename.
Delete a template
To delete a template, select the three-dot menu to the right of the template and select Delete template.
Deleting a template won't affect any workflows that are already using it — those will continue to run as normal. However, the template will no longer be available to select when creating new workflows.
