Using the Transaction cleanup check

The Transaction cleanup check shows QuickBooks Online transactions that are parent-coded, uncategorised, or missing a contact, so you can fix them from one place.

The Transaction cleanup check helps you identify and fix transactions in QuickBooks Online that are incorrectly coded or incomplete. It flags three categories of issues and lets you jump directly into QuickBooks Online to resolve them.

To access it, go to a client's account and select Data Health in the left navigation, then select Transaction cleanup.

Important: This check is available for QuickBooks Online clients only.


Who can use this check

The Transaction cleanup check is available to practices with the Data Health & Insights add-on, on Practice Essentials and Practice Advanced plans.


The three cleanup checks

Transaction cleanup surfaces three types of issues. Each check shows a count of affected transactions on the right. Select a check to expand it and see the full transaction list.

Parent Coded Transactions

Parent Coded Transactions shows transactions coded to a parent-level account where sub-accounts exist. This can affect reporting accuracy and make your chart of accounts harder to work with.

The transaction list shows the date, account, contact, transaction number, transaction type, and amount for each affected transaction. Select View in QuickBooks next to any transaction to open it directly in QuickBooks Online and recode it to the appropriate sub-account.

Uncategorised Transactions

Uncategorised Transactions shows transactions posted to a system-created Uncategorised account in QuickBooks Online. These transactions haven't been properly coded and need to be reviewed and categorised.

The transaction list shows the date, account, contact name, transaction number, transaction type, gross amount, net amount, and tax amount for each affected transaction. Select View in QuickBooks next to any transaction to open it in QuickBooks Online and assign the correct account.

Transactions Without a Contact

Transactions Without a Contact lists transactions that don't have a customer or supplier assigned. Adding contacts improves accounts payable and receivable tracking and keeps your reporting complete.

The transaction list shows the date, account, transaction number, transaction type, and amount for each affected transaction. Select View in QuickBooks next to any transaction to open it in QuickBooks Online and assign the missing contact.

Syncing and recalculating data

To update the Transaction cleanup check, use the two buttons at the top of the page:

  • Sync — pulls any new data or changes from QuickBooks Online into Dext.

  • Recalculate — recalculates the check based on the latest data pulled from QuickBooks Online into Dext.

If you've made changes in QuickBooks Online, select Sync first, then Recalculate to see the updated figures.
