Using the Multi-coded contacts check

The Multi-coded contacts check in Data Health & Insights identifies contacts with inconsistent account or tax code coding across their transactions.

The Multi-coded contacts check analyses your client's invoices and bank transaction line items to find contacts where the same account code or tax code hasn't been used consistently. It surfaces these contacts so you can review the transactions and correct any miscoding directly in Xero or QuickBooks Online.

To access it, go to a client's account and select Data Health in the left navigation, then select Multi-coded contacts.


Who can use this check

The Multi-coded contacts check is available to practices with the Data Health & Insights add-on, on Practice Essentials and Practice Advanced plans.


Suggested contacts

The Suggested tab shows all contacts Dext has identified as having inconsistent coding. Each contact displays the type of differences found - Account Code Differences, Tax Code Differences, or both.

Setting the date range

2 date controls at the top of the page determine which contacts appear and how far back their transaction history is evaluated:

  • Active During — the period Dext uses to find contacts to assess. Dext surfaces contacts that have transactions within this window. Use preset options (This month, Last month, Last 3 months, FY 2026, and so on) or set a custom date range using the calendar.

  • Starting from — how far back into each contact's transaction history Dext looks when checking for coding inconsistencies. For example, if your client changed their accounts structure partway through the year, set this date to exclude transactions before the change.

Filtering the list

Select the filter icon to narrow the list by:

  • Direction — show all contacts, or filter to Expense or Revenue only

  • Code type — show all differences, or filter to Tax code or Account code differences only

Reviewing a contact

Select the chevron on a contact row to expand it. The expanded view groups differences by direction (for example, Accounts Payable) and then by difference type - Tax Code Differences and Account Code Differences shown separately.

Each group shows how many records have each code, with a link to expand further and see transaction-level detail, including Source, Reference, Gross Amount, Date, Locked status, and a View in Xero or View in QuickBooks link for each transaction.

Dismissing a contact

To dismiss a suggestion, select dismiss on the relevant difference group within a contact. Dismissals are granular - they apply at the level of direction and code type. For example, dismissing a contact's Accounts Payable tax code differences won't dismiss its Accounts Payable account code differences, and won't dismiss any Accounts Receivable differences either.

To dismiss every suggested contact at once, select Dismiss all at the top of the list.

Dismissed contacts move to the Dismissed tab, where you can select individual items and use Undo to reinstate them to the Suggested list.


Exclusions

Some contacts will legitimately have multiple account or tax codes - for example, a supplier whose invoices always include a separate shipping line coded to a different account. Exclusions let you tell Dext to ignore specific combinations of account codes or tax codes for all contacts in that client.

To manage exclusions, select Exclusions at the top of the page. The Excluded codes panel shows any existing exclusions and lets you add new ones separately for account codes and tax codes.

To add an exclusion:

  1. Select Add excluded account codes or Add excluded tax codes.

  2. Search for or select the codes you want to exclude - you must select 2 or more codes to create a combination.

  3. Select Add Exclusion.

  4. Select Save to apply.

Once saved, any contact whose transactions only show that combination of codes will no longer appear in the Multi-coded contacts list. If a contact has other coding differences outside the excluded combination, it will still appear - but only those differences will be shown.

Note: Exclusions apply at the client level only. An exclusion set for one client doesn't affect any other client.

Multi-coded contacts and Health Score

Dismissed contacts don't count as issues in the Health Score. Unresolved suggested contacts do contribute to the Health Score until they're dismissed or the underlying coding is corrected.


Syncing and recalculating data

To update the Multi-coded contacts check, use the buttons at the top of the page:

  • Sync — pulls the latest transaction data from Xero or QuickBooks Online into Dext

  • Recalculate — recalculates the check based on the data already pulled into Dext

If you've made changes in Xero or QuickBooks Online, select Sync first, then Recalculate to see the updated results.
