Using Line Item Extraction

Turn on Automatic Line Item Extraction and Dext will extract each of the individual purchases that are listed on your receipts, bills and invoices.

You won’t have to manually split your documents out into line items, Dext will automatically list the total, tax and description of every line on your financial documents.

Note: Each subscription includes a certain amount of Line Item Extraction credits, in all regions except France. You can purchase more credits for this by navigating to Business settings > Subscription.


How to Turn on Automatic Line Item Extraction

Automatic Line Item Extraction can be turned on for each of your suppliers.

This option can be found in a number of places within the Dext Web Application:

  1. Go to Costs, then Suppliers.

2. Simply click the toggle to turn on and off Automatic Line Item Extraction.

3. Click on the name of the supplier on the supplier list brings up the supplier details page where you can also turn on and off Automatic Line Item Extraction.

This option is also found in the ‘Set Supplier Rules’ window in the Item Details page.

After you’ve turned it on, every future document issued from that supplier will be sent for Automatic Line Item Extraction. Find the line items listed in the Item Details page.

What Kind of Documents Can be Extracted?

Dext can extract Line Items from the following types of Costs documents:

  • Invoice

  • Receipt

  • Credit Note

  • Delivery Note

Dext cannot extract Line Items from Statement/Remittance advice or Sales Invoices. In these cases, we’ll extract the document normally without Line Item Extraction. You can find the item in the Inbox with a note saying that the item type is not supported. You won’t be charged for this.


What Happens During Extraction?

Dext will flag all documents from that specific supplier and add them to a Line Item Extraction queue. After we’ve read and extracted all of the data from the document, you can find it in the Inbox of the Costs workspace. Dext extract the following information from each line on the document:

  • description

  • total value

  • tax value (but not tax codes or tax rates)

If parts of the document were blurry or unreadable we may leave some fields blank.


Where Can I Find Details of the Line Items?

Look at the bottom of the Item Details page to find your extracted line items. Edit any of the information from there.


Who Can Turn on Line Item Extraction?

Any administrator on the account can activate Line Item Extraction. This could be an employee in the business, or an accountant or bookkeeper who has access to the business’s Dext account.

Admin users can add and upgrade this feature by going to Practice Settings or Business Settings > Subscription in the Dext web app.


Grouping Line Items

Note: This feature is currently in testing and not yet available to all users.

You can group line items in Dext by Line item group, Tax percentage or Line item group and tax percentage.

You can select this by:

  1. Navigating to Suppliers under the Costs workspace.

  2. Clicking into a supplier you’ve turned automatic line item extraction on for.

  3. Under Group line items by, select the relevant grouping from the drop down list.

Once you’ve selected how you’d like to group your line items, you’ll need to add your line item groups.

You can do this by copying default groups, manually creating groups or by uploading a CSV file.

To do this:

  1. Navigate to Business settings, then Lists.

  2. Under Line item groups, click the relevant button for adding your groups.

  • Copy default groups - Will populate the list with a suggested set of groups for your region.

  • Upload CSV - Will allow you to upload a CSV file containing a list of your groups.

  • Add new line item group - Will allow you to manually create a group.

When an invoice is uploaded, the system will look for anything related to that group and will suggest the right category based on what you’ve set up.

Example:

The group name Vehicle Hire will look for anything related to the group name, for example hire companies, car groups or the word car, van etc and suggest the category based on what you’ve set.

Once an invoice has been uploaded, you’ll see it’s been auto categorised and assigned to the relevant line item group.

You can then click the Edit Line items button to see how the line items have been grouped together.

For any lines that have been grouped, you’ll see the invoice icon with a number attached to it, by clicking on this, you’ll be able to see the individual line details.

If something is incorrect, you can select the line using the checkbox and then click the Unmerge button. It’ll then show as an individual line on the item details page.


Automatically Adding Balancing Lines

Note: This feature is currently in testing and not yet available to all users.

From under the Suppliers section, you can toggle automatically add balancing lines on.

By turning this on, an extra line will be created with the leftover balance of anything that couldn't be allocated so you won’t have to manually do it each time.


Extracting Line Items for One Off Invoices

Note: This feature is currently in testing and not yet available to all users.

If you want to extract line items from an invoice without enabling Line Item Extraction for all invoices from a supplier, you can do it for individual invoices instead.

This is useful if you only need line item details for certain invoices, such as one-off purchases or exceptions, without changing your supplier settings.

Note: This feature is available for Partner users accessing their client accounts, or if you have a Business subscription that already includes line item extraction.

To do this:

  1. Open the Item details page for the invoice.

  2. Click the Extract line items button.

The system will automatically extract the line items from the document.

Note: Each subscription will have an allowance for extracting line items which will appear within the line items section.

If you’ve used your allowance, you’ll see the option to purchase further credits, in order to continue to use this feature.

Alternatively, you can navigate to Business settings > Subscription and purchase further credits from there.
