How to use sales invoicing in Dext Solo

Create and share sales invoices, quotes, and credit notes in Dext Solo from the Sales workspace.

With Dext Solo, you can create and send invoices, request quote approvals, and issue credit notes - all from the Sales workspace in Dext.

Before creating any sales documents, complete the sales invoicing setup. See How to set up sales invoicing in Dext Solo for details.

Note: Sales invoicing is only available for Solo clients.


Create a sales invoice

To create a sales invoice in Dext, go to Sales and select Create sales invoice - this button appears in the top right of the Sales inbox and in Add documents > Sales.

You'll be taken to the invoice editor. Fill in the following:

  • To - select the customer. If the customer doesn't exist yet, you can add them here and enter their billing and shipping address. Their details will be saved to your customer list.

  • Date of invoice and Due date - the invoice date defaults to today. The due date is calculated automatically from your default due date setting but can be changed per invoice.

  • Invoice number - assigned automatically based on your numbering sequence. You can edit it manually if needed.

  • Line items - select + Add line to add each item. For each line, select a product or service, add a description, quantity, price, category, and discount percentage if applicable.

  • Payment terms and Notes - these default to your saved settings but can be edited per invoice.

Select View PDF at any time to preview how the invoice will look. Select Save draft to save and return later - the invoice will appear in Draft invoices until you're ready to finalise it.

Finalise and share a sales invoice

When the invoice is ready, select Finalise invoice. You'll be asked to choose how to share it.

Important: Once you finalise an invoice, you can't edit it. If you need to make changes after finalisation, issue a credit note.

Choose how to share the invoice:

  • Send it via Dext - enter the customer's email address, edit the subject line and email body if needed, and toggle Send me a copy if you want a copy. Select Send to deliver the invoice. The customer receives an email from Dext with the invoice attached as a PDF.

  • I will download it and share it myself - the invoice downloads as a PDF for you to share using your own method.

  • Don't share it for now - the invoice is finalised and saved to the Sales inbox without being sent.

Finalised invoices appear in the Sales inbox. Open an invoice to view the PDF, clone it, create a credit note against it, or send it by email from Tools > Send by email.


Create a quote

To create a quote in Dext, go to Sales > Quotes and select Create quote - this button also appears in Add documents > Sales. The quote editor works the same way as the invoice editor.

Fill in the customer, quote date, expiry date, and line items. Add payment terms and notes if needed. Select Save draft to save and return later.

When the quote is ready to send, select Share quote. Choose how to share it:

  • Send it via Dext - enter the customer's email address, edit the subject line and email body if needed, and select Confirm. The customer receives an email with a link to view the quote. They can select Accept or Reject directly from the quote.

  • I will download it and share it myself - the quote downloads as a PDF.

Once shared, the quote moves to Waiting status in the Quotes page.


How customers respond to a quote

When a customer receives a quote via Dext, they can accept or reject it directly from the email link - no Dext account required.

If they select Accept, the quote status updates to Accepted in Dext. If they select Reject, a Reject quote modal prompts them to enter a rejection reason. The quote status updates to Rejected, and any rejection reason they provided appears in the History tab of the quote in Dext.

Manage a quote after it's sent

To update or act on a quote, open it from the Quotes page. The available actions depend on the quote's status.

For quotes in any status, you can:

  • Select Share to resend or download the quote

  • Select Mark as to manually update the status to Accepted or Rejected

  • Select Archive to remove it from the active list

For quotes in Draft status, select Edit to make changes before sharing.

For quotes with Accepted status, select Convert to invoice to create an invoice pre-filled with the quote's line items, customer, and details.

Once converted, the quote moves to the Archive tab with an Invoiced status. The resulting invoice includes a note in the Item details panel linking it back to the original quote.

Create a credit note

To create a credit note in Dext, open a finalised invoice from the Sales inbox and select Create credit. The credit note editor works the same way as the invoice editor - fill in the customer, date, line items, and any notes.

When ready, select Finalise credit note and choose how to share it. The same three sharing options apply as for invoices.

The credit note is added to your Sales inbox. When you open it, the Item details panel shows a note linking it to the original sales invoice it was issued against.
