A Dext business account can be paid for by either:

  • The business itself, or

  • An accountant or bookkeeper in a Dext practice account who created the account or has taken over payment for it.

By default, the account is paid for by whoever created it.

In this article, a client refers to a business account in Dext that is managed and paid for by an accountant or bookkeeper through their practice subscription.

If you're an accountant or bookkeeper in a practice

This section explains how to:

Take over payment for an existing business account

Use this when a business already has a Dext account, has invited you to access it, and you want your practice to take over billing.

Before you begin

To take over payment

  1. Go to Clients in your practice account.

  2. Select Manage next to the client.

  3. Click Manage client’s subscription.

  4. Select Change who pays.

  5. Click Confirm.

Clients page in a Dext practice account showing the Manage dropdown open next to a client, with Manage client’s subscription highlighted in the menu

Client’s Subscription page showing Dext Bookkeeping marked as Client pays and the Change who pays button displayed on the right.

Once confirmed:

  • The account moves under your practice subscription.

  • It uses one of your available client slots.

  • Any charges for paid add-ons (such as line item extraction, supplier statement extraction, or bank statement extraction) will be billed to your practice subscription.

You can track your clients’ usage in Practice settings > Subscription > View usage.

Remove a business from your practice subscription

There is no direct way to transfer a subscription back to a business. If you no longer want to pay for a client, you have two options.

Option 1: The business purchases its own subscription

See the Take over payment from your accountant section below for business instructions.

Option 2: Remove or deactivate the client

You can remove the client from your subscription by deactivating or disconnecting them.

This:

  • Frees up a client slot

  • Stops paid add-on charges from being billed to your subscription

  • Allows the business to purchase a subscription if they want to continue using Dext

Tip: For step-by-step instructions, see Remove or deactivate a client in your Dext account.

If you're an employee or owner of a business

This section explains how to:

Take over payment from your accountant

Use this when your accountant or bookkeeper currently pays for your Dext account and you want your business to take over billing.

Important: Only a Business Admin can complete these steps.

To take over:

  1. Log in to the Dext web app.

  2. Go to Business settings > Subscription.

  3. Click Change who pays.

  4. Follow the plan purchase steps.

Business Settings > Subscription page showing Dext Bookkeeping marked as Accountant pays and Active, with the Change who pays button highlighted to allow the business to take over payment.

Once completed:

  • Billing moves to your business.

  • The account will no longer sit under the accountant’s practice subscription.

  • Your documents, settings, and users remain unchanged.

What to do next

After taking over payment, you can choose how you want to work with your accountant:

Stay connected to your accountant

You can remain connected to your accountant as a self-paying client. They will continue to have access to your account.

No further action is required if you want to continue working together.

Remove your accountant’s access

If you no longer work with your accountant, you can remove their access from your account.

Invite your accountant to take over billing

Use this when your business already has a Dext account and you want your accountant or bookkeeper to manage and pay for it.

Step 1: Invite your accountant

A Business Admin or User Admin must invite the accountant to the Dext account.

Step 2: Your accountant takes over payment

Once invited, your accountant must follow the steps in:

If your business currently has an active subscription, you’ll need to cancel it and wait for it to expire before your accountant can take over billing.
