How to check your document extraction usage in Dext

See how much of your monthly document extraction allowance you've used and what to do if you reach the limit.

Check your monthly document extraction usage in Dext and understand what happens when you reach your limit. This article applies to Dext Business accounts only.


Before you start

You'll need to be a Business Admin to access the Subscription page and check your extraction usage. If you don't have admin access, contact your account administrator.


Your extraction usage

Your Dext Business plan includes a monthly document extraction allowance. You can check how much of your allowance you've used at any time from the Subscription page.

To check your usage:

  1. Go to Business settings > Subscription.

  2. Find the Bookkeeping tile. This shows your current documents extracted against your monthly allowance.

  3. To see a full breakdown by billing period, select View usage in the Business Essentials tile above. This shows usage across document extractions, Bank Statement Extraction, Line Item Extraction, and Supplier Statement Extraction. You can also export this data as a CSV.

Approaching and reaching your limit

Dext notifies you when your extraction usage is getting high.

When you've used 80% of your monthly allowance, a banner appears at the top of every page: "You're getting close to your monthly extraction limit."

When you've reached your allowance, the banner updates to: "You've reached your monthly extraction limit."

Business Admins also receive an email in both cases.

Note: The banner is visible to all users, but only Business Admins see links to the Subscription page.


What happens when you reach your limit

When you reach your monthly extraction limit, you can still upload documents to your account.

Documents uploaded after the limit is reached won't have data extracted from them straight away - they sit in the Processing tab with an extraction process status of Monthly extraction limit reached.

These documents are extracted automatically at the start of your next billing period, or immediately if you upgrade your plan before then.


Your options when documents are waiting in Processing

When documents are sitting in the Processing tab due to the extraction limit, you have two options.

Upgrade your plan to increase your monthly allowance. Extraction begins immediately for all queued documents. To upgrade, select Manage subscription in the banner, or go to Business settings > Subscription > Change plan. For full instructions, see How to change your Dext Business plan.

Move documents to your inbox to skip extraction and review or edit them manually instead. You can do this per item using the Move to inbox button, or use Move all items to inbox to move everything in the Processing tab at once. Documents moved to the inbox won't have data extracted from them - if you need extraction, you'll need to re-upload the document.
