Connecting with Xero

Connecting your Dext and Xero accounts will enable you to send your Dext items directly to your accounting software with all the relevant item details applied.

Important: To be able to connect to an accounting software you must have Administrator level User Privilege access. If you cannot see the Connections section in the sidebar it means you don’t have this access. Reach out to your account administrator or accountant/bookkeeper to request access.


What does Connecting do?

Connecting the platforms will:

  • Sync the Chart of Accounts, Suppliers, Customers, Tracking Categories, and Payment Methods between the two softwares.
  • Activate the ‘Publish’ button, which sends your Dext items directly to Xero.

Setting up the Connection 

To connect your Dext account to your Xero account:

1. Navigate to Business Settings in the sidebar, then Connections.

2. Go to Accounting Software, and click the Connect software button.

3. Find Xero and click the Connect button.

  1. You’ll see a summary of the connection process. Click Connect software, and you’ll be redirected to xero and prompted to log in to your Xero account.

4. Follow the steps provided until you return to Dext.

5. Choose an organisation to give Dext access to, and click Next.

6. Finally, you will see a confirmation that your organisation is connected. Click Finish.

 Note: Your Chart of Accounts from Xero will be imported into Dext and can be found on the Categories page under the Lists section of the menu.


 Configuring Tax & Category Settings

Before publishing an item its essential to have the correct tax settings and categories selected for the item. This will ensure your items are published to the correct destination and with the correct details applied.

This can be done by editing the item on the Item details page, or you can also set rules that will be applied to specific suppliers or customers each time a document is received from them.

How to Reconnect

Reconnecting will re-establish the connection with your accounting software. You may need to reconnect when your Xero connection breaks. This could be because your login credentials have changed or your Xero connection has expired.

If you would simply like to refresh your chart of accounts, see how to refresh the connection section below.

To re-connect:

  1. Go to Business Settings, then Connections.
  2. Next to Xero Click the Manage button.
  1. On the next page, click the Reconnect button. You’ll then be redirected to xero and prompted to log in to your Xero account.
  1. Click on the blue Continue with “x” organizations button.

  1. Once you’ve returned to Dext, select the relevant organisation to give Dext access to, and click Next.

  1. Finally, you will see a confirmation that your organisation is connected. Click Finish.

How to Refresh Lists

Refreshing your connection will only refresh the charts of accounts (all the lists pulled from the integration).

Please note: No data will be lost when the connection is refreshed.

To refresh your Xero data:

  1. Go to Business Settings, then Connections.
  2. Next to Xero Click the Manage button.
  1. Click the Manage Connection dropdown, then Refresh integration data.
  1. Finally, you will see a green banner confirming the refresh is in progress. The process should only take a couple minutes.
