How to set default settings for new clients

Set default connections, payment status, due dates, and export settings that apply to every new client account.

Client defaults let you pre-configure common client account settings once, so every new client you add starts with your preferred setup instead of needing individual configuration. This article covers what you can set as a default and how to update it.

Note: Client defaults only set the starting values for a new client account. You can still adjust any individual setting for a specific client afterwards in that client's Business settings.


Set default settings for new clients

To set default settings for new clients, go to Client defaults in Practice settings and choose your preferred setting in each section:

  1. Go to Practice settings in the bottom-left navigation.

  2. Select Client defaults.

  3. Choose your preferred setting in each section, listed below.

  4. Dext saves each change automatically as you go.

Connections

The Connections section sets which accounting software integration is available by default for new client accounts. Select a platform from the list, which includes Xero, QuickBooks Online, Sage Accounting, and other supported platforms. The exact integrations available depend on your region.

Payment status

The Payment status section sets whether receipts, invoices, and credit notes are marked as Paid or Not paid by default for new client accounts.

Due dates

The Due dates section sets a default due date for costs and sales invoices, based on a number of days after the invoice date. You can set this separately for costs invoices and sales invoices.

Net amount

The Net amount setting controls whether the net value field is included in CSV exports for new client accounts.

Categorisation

The Categorisation section controls how Dext applies categories to new documents, including whether auto-categorisation is always on, and how categories are displayed and sorted.

CSV exports

The CSV exports section sets the default export format for receipts and invoices, bank statements, sales documents, and expense reports when a client exports as CSV.

Archive

The Archive section controls whether Dext automatically archives items after they're published, exported to CSV, added to an expense claim, or exported to PDF.

Image sharing

The Image sharing setting controls whether links to source document images are included when a client exports items as a CSV or PDF file, or shares them by email.

Common questions about how Client defaults work are answered below.

Will Client defaults affect existing client accounts?

No, Client defaults only apply to new client accounts created after you set them up. Existing client accounts keep their current settings, which you can update individually from that client's Business settings.

Can I change my defaults later?

Yes, update your defaults from Client defaults in Practice settings at any time. Changes only apply to new client accounts created after the update. They don't apply to accounts that already exist.
