Using the Dormant accounts check

The Dormant accounts check in Data Health & Insights identifies GL accounts with no transaction activity since a date you set so that you can archive or dismiss them.

The Dormant accounts check identifies general ledger accounts that have had no transaction activity since a date you set. It suggests accounts that may be candidates for archiving, helping you keep your client's chart of accounts clean and relevant.

To access it, go to a client's account and select Data Health in the left navigation, then select Dormant accounts.


Who can use this check

The Dormant accounts check is available to practices with the Data Health & Insights add-on, on Practice Essentials and Practice Advanced plans.


Suggested accounts

The Suggested tab shows all GL accounts Dext has identified as dormant based on the Dormant since date. Each account displays its name, account code, and a brief note on its transaction history.

Note: Dext doesn't include Xero system accounts or certain other account types that can't be archived. These won't appear in the list.

Setting the dormant since date

The Dormant since date controls which accounts Dext flags as dormant. Dext shows accounts with no transaction activity recorded from that date onwards. Use the date field at the top of the page to change it.

Filtering and searching

Use the search bar to find a specific account by name or code. Select the filter icon to narrow the list by:

  • Activity — show all accounts, only those with some activity, or only those with no activity

  • Account class — filter by Revenue, Expense, or Other

Taking action on individual accounts

For each suggested account, you have 3 options:

  • View in Xero — opens the account directly in Xero so you can review its history before acting

  • Archive — archives the account in your client's GL in Xero

  • Dismiss — removes the account from the Suggested list without archiving it. Dismissed accounts move to the Dismissed tab and can be reinstated at any time.

Bulk actions

To act on multiple accounts at once, select the checkbox on each account row, or select Select All to select every account on the page. Once you've made a selection, Bulk Actions at the top of the list updates to show:

  • Archive [X] Suggestions — archives all selected accounts in Xero

  • Dismiss [X] Suggestions — dismisses all selected accounts


Dismissed accounts

Select the Dismissed tab to see all accounts you've previously dismissed. From here you can:

  • Undo — reinstates an individual account back to the Suggested list

  • Undismiss [X] Suggestions — reinstates multiple selected accounts using the bulk action

Dormant accounts and Health Score

Dismissed accounts don't count as issues in the Health Score - dismissing an account tells Dext you've reviewed it and don't want it flagged again. Unresolved suggested accounts do contribute to the Health Score until they're either archived or dismissed.


Syncing and recalculating data

To update the Dormant accounts check, use the buttons at the top of the page:

  • Sync — pulls the latest account data from Xero into Dext

  • Recalculate — recalculates the check based on the data already pulled into Dext

If you've made changes in Xero, select Sync first, then Recalculate to see the updated results.
