How to manage a Fetch connection in Dext

View connection status, trigger a manual fetch, and manage your Invoice Fetch connections from Business settings in Dext.

After setting up a Fetch connection, you can view and manage all your connected supplier portals from Business settings > Connections > Cost Connections > Manage.

Understanding your Fetch connections

Your Invoice Fetch page lists all connected supplier portals with the following information:

  • Supplier - the name of the connected portal

  • Connected as - the login credentials used to connect

  • Status - whether the connection is working or has an error

  • Documents - the total number of documents collected for this connection

  • Last fetched - the date the most recent document was collected

  • Created by - the user who set up the connection

  • Notification sent to - the user who receives email alerts if the connection status changes

Use the Needing attention tab to filter for connections with errors that need to be resolved.

You'll have 3 options:

  • Force Document Fetch - triggers a sync with the supplier portal, without waiting for the next scheduled weekly check. The process may take up to 24 hours to complete. If 2FA is set up on the supplier portal, this may trigger a verification request.

  • Edit credentials - update the details used to authenticate the connection. You can update the Username, Password, Timezone, and the date to include historical documents from. Some suppliers may include additional fields. Select Save when done.

  • Delete - permanently removes the connection. Any documents already fetched remain in your Costs inbox or Archive.


Changing who receives connection alerts

If a connection status changes - for example, if login credentials stop working - an email alert is sent to the user listed under Notification sent to. By default, this is the user who set up the connection.

To change this, select the dropdown under Notification sent to and choose a different user. This should be someone who can log in to the supplier portal and resolve any issues.


Supplier not pre-selected on fetched documents

Dext extracts the supplier name directly from each fetched document during the usual extraction process. There's no way to pre-select a default supplier for a Fetch connection.
