The prepayments tracker in Data Health & Insights gives you visibility over prepayment journals created by Dext and how they're being recognised over time. It groups the initial prepayment journal with its associated monthly recognition journals, so you can see the remaining unreleased balance at any point.
To access it, go to a client's account and select Data Health in the left navigation, then select Prepayments under Cleanup. Use the Reporting date field at the top of the page to set the date the balance is calculated against.
Important: The prepayments tracker is available for Xero clients only. It tracks journals created by Dext's prepayments feature — for information on setting up prepayments in Dext, see How to use Prepayments for Xero and QuickBooks Online.
Who can use this check
The prepayments tracker is available to practices on Practice Essentials and Practice Advanced plans with the Data Health & Insights add-on.
Combined stats
The Combined stats section at the top of the page shows two figures calculated at the Reporting date:
Balance — the current balance of the prepayments account
Unreleased Prepayment — the portion of the original prepayment amount not yet recognised through monthly release journals
Balance over time
The Balance over time chart shows how the prepayment account balance changes as monthly recognition journals are posted. The shaded area represents the remaining unreleased balance. As each recognition journal is applied, the balance steps down — eventually reaching zero when the prepayment is fully recognised.
All journals
The All journals table lists every journal associated with the prepayments account within the Reporting date period. Each row shows the Date, Narration, Journal number, and the amount posted to each account code involved.
Dext-created journals follow a consistent naming convention in the Narration column:

Select Export to Excel to download the full journal list.
Syncing and recalculating data
To update the prepayments tracker, use the buttons at the top of the page:
Sync — pulls the latest data from Xero into Dext
Recalculate — reruns the tracker against the data already pulled into Dext
If you've made changes in Xero, select Sync first, then Recalculate to see updated results.
