How to sync and recalculate data in Dext

Sync and recalculate your client's data in Dext to keep Data Health checks, Insights, and Workflows up to date after changes in Xero or QuickBooks Online.

Dext stores a local copy of your client's data from Xero or QuickBooks Online and syncs it automatically every 48 hours. When you need the latest data sooner — for example, after making changes in your client's accounting software — you can trigger a sync on demand, then recalculate to update the checks or reports.

  • Sync — pulls the latest data from Xero or QuickBooks Online into Dext

  • Recalculate — reruns the checks or reports against the data already pulled into Dext

Always run Sync before Recalculate if you've made changes in Xero or QuickBooks Online. You can also recalculate at any time without syncing — for example, if you've changed a date range or reporting date and want to see updated results without pulling new data.

Sync and recalculate Data Health checks

All Data Health checks have Sync and Recalculate buttons at the top of the page. Use these after making changes in Xero or QuickBooks Online, or after adjusting the Reporting date on a check.

Sync and recalculate Client-level Insights

All client-level Insights have Sync and Recalculate buttons at the top of the page. Use these after making changes in Xero or QuickBooks Online, or after adjusting the date range or reporting period on an insight.

Sync and recalculate Workflows

Within an in-progress Workflow, Recalculate and Sync are available at the top of the page at any time.

If your client's data has been synced since you last had the Workflow open, Dext will show a Data Has Changed prompt when you reopen it. Select Recalculate Now to update the Workflow with the latest data before continuing, or select Cancel to continue without recalculating.

Note: Workflows are available on Practice Advanced plans only.
