Once you've connected Dext to Sage 50 Canada, you can publish costs, sales, and expense claims directly from Dext. If you haven't set up the connection yet, see How to connect Dext to Sage 50 Canada. Published costs and expense claims appear in Sage as Vendor Invoices; published sales items appear as Client Invoices.
Important: Admin users, including accountants and bookkeepers accessing a client account, can publish by default. Standard users need additional publishing permissions. See Roles and permissions in Dext for more details.
Before you publish
Before publishing to Sage 50 Canada, make sure:
The item is in Ready status
The Dext Connect App is running on the computer used to set up the integration - see What is the Dext Connect App? for more details
Single-user mode: If Sage 50 Canada is in single-user mode, you must close it before publishing. Multi-user mode is recommended - it allows publishing without closing Sage.
Share Mode: Share Mode must be turned off before publishing. Publishing with Share Mode active can cause errors. Turn it off, publish, then turn it back on once publishing is complete.
To publish an item, open it in Dext and select Publish at the top of the item detail page, or select items from the inbox and use the Publish action.
Note: Auto-publish is not supported for Sage 50 Canada - items must be published manually. To automate how items are coded before publishing, see Rules and automation in Dext.
Publish costs
Cost items publish to Sage 50 Canada as a Vendor Invoice. The destination controls whether the item publishes as paid or unpaid - and determines the Payment Method and Paid From values in Sage.
The default destination is Purchase Invoice. You can change the destination per item using the Publish to dropdown on the item detail page, or set a default for all cost items in Business settings > Connections > Manage > Settings.
Cost credit notes (items with Type set to Credit note/refund) follow the same destinations and paid/unpaid rules as regular cost items, but publish with negative amounts in Sage.
Purchase Invoice
Purchase Invoice publishes the item as an unpaid Vendor Invoice in Sage, with Payment Method set to Pay Later and Amount Owing equal to the full invoice amount. The Paid toggle in Dext is unavailable when Publish to is set to Purchase Invoice.
Cash, Cheque, Direct Deposit, and Credit Card
Cash, Cheque, Direct Deposit, and Credit Card each publish the item as a paid Vendor Invoice in Sage, stamped PAID with Amount Owing of 0.00. These destinations require the item to be marked as paid in Dext with a payment method linked to a bank account. See How to link a payment method to a bank account for setup steps.
Cash, Cheque, and Direct Deposit require a payment method linked to a standard bank account
Credit Card requires a payment method linked to a Credit Card bank account
The Payment Method field in Sage reflects the destination selected in Dext. The Paid From field shows the linked bank account.
Direct Deposit: Before publishing to Direct Deposit for the first time, Direct Deposit must be enabled for the vendor in Sage 50 Canada. To do this, open the vendor record in the Payables Ledger, select the Direct Deposit tab, and tick Allow direct deposits for this vendor. Once enabled, sync in the Dext Connect App or use Refresh integration data in Dext to pull the change through - see How to refresh your accounting software data in Dext.
Publish sales
Sales items publish to Sage 50 Canada as a Client Invoice. The Publish to field is greyed out for all sales items - there's no destination to select. How the item publishes depends on its type.
Sales Invoice publishes as an unpaid Client Invoice in Sage, with Payment Method set to Pay Later. It can only be published as unpaid.
Sales Receipt publishes as a paid Client Invoice in Sage, stamped PAID with Amount Owing of 0.00. A payment method linked to a bank account is required - this field appears as Deposit to on the item detail page in Dext. See How to link a payment method to a bank account for setup steps.
Sales Credit Note publishes as a Client Invoice with negative amounts in Sage. It can only be published as unpaid. The Document Reference in Dext populates the Invoice No. in Sage.
Publish expense claims
Expense claims publish to Sage 50 Canada following the same destination options and paid/unpaid logic as cost items. The claim publishes as a single Vendor Invoice in Sage, with the claim owner as the Vendor and the Claim ID as the Invoice No.
Each item within the claim publishes as a separate line on the Vendor Invoice. The Item Description in Sage combines the item's supplier and description.
Line items
If a cost item or sales item in Dext has line items, each line item publishes as a separate line within a single Vendor Invoice or Client Invoice in Sage - with its own account, tax, and project from Dext. If a Product/Service is selected on a line item in Dext, it maps to the Item Number field in Sage for cost items.
Where to find published items in Sage 50 Canada
Published costs and expense claims appear in the Expenses Journal in Sage 50 Canada. Published sales items appear in the Fees Journal. You can also find published items by opening the vendor or client record and viewing their transaction history.

Expense claims: The claim owner publishes as the Vendor. Each item's supplier and description are combined in the Item Description field.
Due Date: The Due Date in Dext publishes as Early Payment Terms in Sage, expressed as the number of days between the item date and due date.
Image sharing: Dext can't send PDF attachments to Sage 50 Canada directly. If Image Sharing is turned on in Business settings > Extraction, a link to the item image is sent to Sage. To open the image, select the Open link icon on the Vendor or Client Invoice toolbar in Sage.
